RESPONSIBILITIES

Candidates are expected to assist and support the Pilotage Services Department in the following:

• To assist in arranging HOD’s meetings, overseas travel and claims as the HOD’s PA.
• To generate monthly department KPI results graphically for HOD.
• To prepare month-end revenue accrual, monthly sectors revenue/volume-yield/any required operation details reports and pilot utilization slide to Finance.
• To prepare and review daily/monthly/half-yearly Pilotage Operation Movement reports for accuracy and completeness of job data and ensure that all jobs are billed.
• To assist with ad-hoc billing to customers.
• To generate monthly and YTD pilotage service level reports.
• To endorse Purchase Orders for payment to suppliers.
• To submit certified and approved invoices to Finance for payment to suppliers.
• To verify telco invoices and recover costs from staff for any excessive usage (if any).
• To assist with all medical certificate submissions, claims, records and invoices.
• To prepare YTD team-based KPI and other operations records.
• To organise documents for the annual performance appraisal.
• To undertake any other duties as assigned by the supervisor.

REQUIREMENTS

• At least a Diploma in any specialisation;
• Minimum 2 years of experience in handling administrative matters;
• Experience in PeopleSoft will be an added advantage;
• Proficiency in Microsoft Excel;
• Detail-oriented and excellent interpersonal and communication skills; and
• Good time and stress management.

• Assist Project Manager in managing telecommunication projects - attending surveys, site construction, testing and commissioning of radio system
• Guide and supervise contractors / internal workers for site implementation in relation to M&E/Electrical/Mechanical works in accordance to proposal relating to infrastructure, installation quality, work safety requirements and resolve technical issues
• Conduct site acceptance with subcontractors, including preparation of site acceptance documentation
• Co-ordinate with building management and government authorities, for all areas of HDB/Commercial/LTA/MRT/Private Condominiums site access related matters
• Identify deliverables, plan and execute deliverables
• Understand customers' strategies and manage their technical expectations
• Follow up on the KPIs of operator's network to ensure the optimized usage of the deployed solution
• Involve in Network Planning Optimization

About the Role:

· Perform warehousing and operations related administrative duties, including transactional processing in system, and reporting.

Roles and responsibilities:

Operations

· Responsible for inbound receiving and put-away, outbound order pick and pack, and value-add operations.

· Value-add

o Perform physical packaging of equipment from returned consignment and put-away after completion.

o Labelling of new training models and other equipment for easy identification.

o Perform physical replacement of dirtied/damaged packaging materials, such as carton boxes and zip-lock bags.

· Perform system processing, such as transaction posting, uploading of documents, and generate delivery/collection document.

· Liaise with transporter for delivery/collection arrangements.

· Liaise with Operations Support on orders matter.

Stock Count

· Participate in periodic cycle count and, when necessary, full stock-take – performing physical count or stock reconciliation as assigned by Team Lead.

Performance

· Meeting set KPI targets.

· Strict Compliance with OSP QMS and maintain zero non-conformance.

Other Tasks & Responsibilities

· Maintain proper housekeeping in the warehouse.

· Responsible for proper maintenance and serviceability of operations equipment.

· Support in team/department level projects when necessary.

· Any other duties as assigned by the Team Lead or Manager.

What we are looking for:

· Minimum GCE ‘N‘/‘O‘ Level, preferably with formal training in warehousing or logistics management.

· Good knowledge of warehouse processes.

· Hands-on, meticulous and a keen learner.

· Good verbal and written communication.

· Ability to operate material handling equipment including pallet jack and electric order picker.

· Ability to lift heavy loads of up to 25kg.

· Working knowledge in Sales Force system will be an advantage.

· Working knowledge in MS applications including Excel, and Outlook.

· Minimum 2 year working experience in warehousing.

• Ability to work under pressure and manage multiple projects simultaneously.
