Summary:

Job Duties:

• Assist in providing administrative support / services as well as solutions meeting the needs for the Company and the Group.
• Assist in creating, formatting, and proofread documents, including letters, reports, memos, and presentations to ensure accuracy and professionalism in all written materials.
• Transcript of voice recording of meetings / phone conferences.
• Draft, review & comments emails / agreements / documents for Executive director’s consideration.
• Comfortable to identifying and evaluating legal and compliance risks within the company and the group.
• Monitor and report on regulatory changes and developments.
• Record and monitor deadlines, update status and tracking internal database / reports of relevant tasks / project assigned.
• Administer and maintain databases / files; renaming, reorganizing, and maintaining files, folders, documents, and internal database (spearhead converting largely to digitally).

Job Summary:

• Assisting on the staff donation process, and other donation and fundraising matters. This role is crucial in ensuring that all donations collected are properly accounted for and reconciled.

Responsibilities:

• Act as the primary liaison between the Advancement Office and HQ Finance for all fundraising and donation matter, in particular managing the staff donation process.
• Develop and maintain a comprehensive view of staff donations across Group through preparation and analysis of regular reports.
• Coordinate with key stakeholders such as HR, Payroll, Shared Services, Finance and Advancement Office to ensure seamless operations of the staff donation process.
• Address and resolve any issues or discrepancies related to staff donations through regular report monitoring and communication with relevant parties.
• Collaborate with team members and other key stakeholders in streamlining the donation process.
• Assist Finance and Advancement office in collating the information needed for reports such as annual reports, progress reports to donors, publication etc.
• Any other ad-hoc projects related to the Group charities, or administration of fundraising matters.

Requirements:

· Diploma in Finance, Business Administration, or a related field.

· 2 - 3 years of working experience in administration.

· Experience in coordination roles, preferably within a large organization.

· Strong organizational and multitasking abilities.

· Excellent communication and interpersonal skills.

· Proficiency in Microsoft Office Suite.

· Detail-Oriented and analytical: Meticulous attention to detail to ensure accuracy in financial records and reports.

· Proactive: Ability to anticipate needs and take initiative to address issues before they escalate.

· Collaborative and adaptable: Team player with the ability to work effectively with various departments and stakeholders.
