We are looking for fresh or new graduates of Accounting and Finance who are keen and passionate to undertake a role in the finance and accounting division of our law firm. You will be assistant the Accounting Officer with her daily tasks and will play a pivotal role in the stabilisation of the firm's financial operation and position.

In order to succeed in this role, you should preferably possess the following:

- A diploma from a reputable college or university in the field of accounting and finance

- 1 year of relevant working experiences but fresh graduates will be equally considered

- Effectively fluent in both English and Mandarin

- Quick adaptability to various computer applications (Microsoft Office, Tesseract etc.)

In this role, you will be expected to

- Issue payment vouchers for bank payments using Tesseract

- Update bank book when funds are received

- Perform bank reconciliations on office accounts

- Ad-hoc administrative tasks such as dropping cheques and bank visits

- Assist the Accounting Officer to update receipt of funds into the Tesseract system

- And of course, anything that can be of help to thr Accounting Officer, when necessary

With supervision from the senior, managers and partners, your primary focus is to ensure that the accounting, corporate secretarial, tax and related assignments are executed based on the relevant professional requirements.

You will have the opportunity to use of robotic process automation (RPA) technology to prepare reports and schedules that are to be delivered to the clients and other external parties.

The Assistant – Operations supports the day-to-day functions and general maintenance of the Nursing Home. The incumbent ensures that the Home’s equipment, gadgets and instruments are maintained at optimal functioning level at all times.

Job Description

Ground Management:

• Ensure that the drainage around the garden and within the Home is cleared of all debris and stagnant water
• Take care of the gardens inclusive of grass-cutting, watering, weeding, etc.

Equipment and Building Maintenance:

• Conduct general repair and maintenance of wheelchair and equipment
• Conduct general maintenance of the premises · Maintenance of nursing equipment e.g. autoclave, oxygen concentrator, nebulizer and air compressor (gym and dental).
• Prepare and arrange rooms in the Home for different functions.
• Report to the Reporting Officer of any equipment malfunction or breakdown

Inventory Management:

• Assist the Senior Executive – Operations in asset movement and labelling of assets
• Assist the Storekeeper where required in inventory management e.g. receiving stocks, weekly distribution of supplies to wards
• Assist the Senior Executive – Operations / Driver where required in management, delivery and/or collection of goods and donations.

Others:

• Cover the Reception counter for the Security officer or Assistant – Admin in his/her absence.
• Cover driving and dispatch duties in the absence of Driver if the incumbent had valid driving license.
• Participate as a member of the Home’s Fire Safety Committee
• To carry out any other duties and responsibilities as assigned by the Senior Executive – Operations, Senior Manager – Operations or Head of Centre.

RESPONSIBILITIES

Responsible for cooking, preparing, washing and storing of all food produce efficiently. Required to exercise high standards of overall safety, cleanliness and hygiene within the kitchen area at all times, including:

• Delivery and collection of food using food warmer trolley or food bag for every meal.
• Basic Cooking and food preparation.
• To do dishwashing and ensure cleanliness for all crockeries, utensils, equipment and melamine.
• To clean and sanitize the food warmer and transport trolleys after every meal.
• To dispose food waste into proper waste bins and transport down to disposable green bins at bin centre.
• To do food plating in the kitchen for all residence levels according to diet requirements.
• To take note of diet change and ensure that diets are served correctly according to requirements (e.g. pureed, minced/chopped, normal & special diet)
• To ensure precise food proportioning of meat, vegetables and rice for meals provided.
• Ensure strict adherence to good food and personal hygiene practices at all times.
• Perform timely housekeeping within the kitchen premises and dry store.
• Duties requires heavy lifting at times ( e.g. Able to top-up 25kg rice sack into container)
• Any ad-hoc duties as assigned by the management.

JOB REQUIREMENTS

• Able to understand and speak basic English
• Those without the necessary certificate will be required to attend and pass the basic course and even refresher exam (when required)
• Those who possess Certificate in Basic Food Hygiene will have an advantage
• Class 3 driving license will have an advantage

Key Duties & Responsibilities

1. Travel arrangement. Plan, organize and book all travel arrangements, including flights, hotel accommodations, and transportation. Coordinate itineraries and ensure travel visas and other required travel documents are obtained for travel. Provide prompt support to the CEO for any last-minute adjustments.

3. Calendar and schedule management. Manage and coordinate heavy meeting schedules and appointments, and events.
4. Meeting preparation and coordination. Organize and prepare materials for meetings, including agendas, presentations and reports. Take minutes and follow up on action items to ensure timely completion.
5. Responsive communication and correspondence. Act as the first point of contact for the CEO, manage calls, emails, and messages with professionalism. Handle, respond or redirect inquiries on behalf of the CEO promptly, ensuring communication flow efficiently.
6. Event planning and coordination. Assist in planning and execution of the corporate and personal events for the CEO.
7. Personal support. Assist the CEO with personal tasks and errands.
8. Manage high level of discretion and professionalism in handling sensitive personal matters for the CEO.Assist
9. Assist in coordinating various projects and and when assigned.

Job Requirements

1. At least 6 years of proven experience as an Executive or Personal Assistant, preferably supporting high-level executives
2. Able to undertake frequent business trips to Indonesia

We are a managing agent and prepare billings and payment for a number of estates. Prepare the financial reports on monthly basis for a few estates.
