Job Summary:

The position of Accounts Manager will be involved majorly in helping to set up systems/processes/controls for our under construction greenfield factory in China, expected to start production early 2025. Accounts, Tax and Compliance

• Ensure the timely and correct preparation of financial and group reporting, budgeting, and management reporting, including forecasting and year-end projections as needed, with reconciliation across all different sets of local, financial, group and management reporting.
• Work closely with other stakeholders to validate costing accuracy on interest, forex, insurance, and reconcile operational performance metrics/results to management reporting.
• Get familiar with ERPs being used and have active involvement in system enhancements/ implementations.
• Participate in adhoc assignments as and when needed for business expansion projects, capital expenditure budgeting, return-on-investment (ROI) analyses, and working capital efficiency assessments, including inventory and receivables management.

• Develop and implement controls in partnership with China factory departments and commercial heads to support effective internal control systems before the factory starts production.

Banking and Treasury Coordination

• Support the HQ Consumer Pack Treasury team for various work at these overseas subsidiaries such as new bank account setup, cash flow projection, forex exposure management etc.

Job Description:

• Procurement – procurement of adhoc small value items, including stationery, food catering, bus bookings.

• Student administration – Help to process applications for financial assistance and related schemes for students from low-income families.

• Finance matters – Follow up with parents on outstanding bills on a monthly basis.

• Staff matters – Update leave and medical leave on the staff movement board.

• Record keeping – e.g. utilities and telecommuniations monthly 2-2 usage, photocopy monthly usage, maintain list of expiry dates of contracts and agreements.

• Attend to walk-in visitors (parents, vendors, etc) and students requiring assistance at the General Office.

• Attend to sick and injured students

• Answering telephone calls and directing the calls to relevant staff.

• Attend to incoming parcels and school emails

• Any other duties as and when assigned by the school.

Qualifications and Skills Required:

• GCE ‘O’ Level Certificate or its equivalent, in the Englishmedium.

• Good communication skills in English, and preferably be conversant in Mandarin.

• Able to work well under pressure and maintain a positive attitude even when under stress.

• A pleasant personality and a team player with good interpersonal skills.

• An independent worker with initiative.

• Has an eye for details, and has good organisation and time management skills.

• Proficient in Microsoft Office, especially in Word and Excel.

Scope of Works:

1. Handle calls, walk-in enquiries, delivery, school mails, parcels dispatch.
2. Attending to pupils who are unwell in the General Office (GO) and ensuring that the school’s early dismissal procedure is adhered.
3. Coordinate with Teacher in charge to update weekly school activities in the GO
4. Pack and prepare materials to be distributed to all classes
5. Compilation of simple information and statistics using MS Office

What You’ll Do

As our Admin Assistant, you’ll play an essential role in the smooth running of our office. Your responsibilities will include:

• General Office Administration: Ensure the office is well-organized, stocked, and operating efficiently, from managing supplies to scheduling maintenance.
• Document Preparation and Filing: Handle important documents, contracts, and permits with attention to detail, keeping everything organized and compliant with government standards.
• Client and Helper Support: Provide friendly assistance to both clients and helpers, answering questions, managing schedules, and facilitating meetings.
• Data Entry and Record Keeping: Maintain accurate records in our database for both clients and helpers, ensuring information is up-to-date.
• Assist with Onboarding and Orientation: Help onboard new helpers and guide them through agency processes, ensuring a welcoming experience.
