The Executive Secretary to the Managing Director plays a crucial role in providing high-level administrative support to ensure the efficient operation of the executive office. This position requires a proactive and organized individual with strong communication skills, attention to detail, and the ability to handle confidential information.

Responsibilities:

• Prioritize and manage the Managing Director’s schedule, ensuring alignment with organizational priorities.
• Coordinate and schedule internal and external meetings, including client appointment, team meetings, and industry events.

Requirements:

• At least a Diploma in Business Administration, Secretarial Studies, or a related field is preferred.
• Minimum 5 years’ experience as an executive secretary or similar role, preferably in the asset management industry.
• Excellent written and verbal communication skills with the ability to interact professionally with diverse stakeholders.
• Strong organizational and multitasking abilities to handle a variety of tasks simultaneously.
• Proficient in Microsoft Office applications and other relevant office software.

Under the supervision of the Manager, Accounting & Finance, he/she is responsible for performing technical and administrative accounting functions of the company.

Responsibilities:-

- ensures that accounting processes are in compliance with Accounting Standards and SOX;

- participates in developing and executing the month-end closing process;

- in-charge of the general ledger and management closing;

- responsible for cost center accounting and reporting

- guide and review work performed by team members when necessary;

- in-charge of fixed assets accounting;

- balance sheet accounts reconciliation;

- assist in analysis of financial statements & preparation of management reports for review;

- consolidation of accounts;

- consolidation of GST filing;

- Preparation of statutory schedules and reporting for annual statutory audit;

- filing of surveys required by statutory boards;

- assist in forecasting and budgeting process; and

- involve in ad-hoc projects.

Minimum Requirements:-

- Chartered accountant or Degree in Accountancy equivalent;

- Minimum 3 years of experience in handling full sets of accounts and reporting;

- Ability to multi-task, work under pressure and tight deadlines;

- Meticulous, analytical, initiative and good problem-solving skills;

- Familiar with SAP system and experience in external/internal audits;

- Well versed in MS Excel and spreadsheet techniques with exceptional numerical proficiency;

- Good written & verbal communication skills;

- Willing to take challenges and adapt to changes/new ideas.

• Manage pre- and post-course administrative matters for each new programme to ensure smooth execution and running of all programmes.
• Assist in managing training registration and course implementation and administration workflows while ensuring constant review and improvement of the respective workflows.
• Perform daily transaction in the Training Partners Gateway and Training Management System.
• Liaise with trainers and partners to create and update teaching resources on the Learning Management System prior to the start of the class and during class itself.
• Collate and analyse course evaluation results to evaluate the effectiveness of training programs to determine whether they met their objectives.
• Identify, analyse, and monitor issues that affect quality of courses and trainers.
• Provide operational insights to achieve key performance indicators.
• Utilise participants information from data and research to understand trends and opportunities.

• Diploma or degree with at least 3 to 5 years of relevant work experience.
• IT-savvy and proficient in Office 365.
• Proficient in using Training Partners Gateway and Training Management System portal is an added advantage.
• Have an eye for detail, multi-tasking and fast-paced working environment.
