The successful applicant will be responsible for the day-to-day administration of the music programme. To ensure that all music tutors, staff, parents and students are supported by correct procedures and the resources are in place to run successfully. The role reports to the Director of Music through the Music Manager.
Requirements:
- Diploma holder or equivalent
- Minimum relevant experience of two years and above
- Experience and general knowledge of music would be an advantage
- Proficient in Google, Microsoft Office Applications & Excel
- Pleasant disposition with excellent interpersonal, organisational, communication, co-ordination and administrative skills; and a good command of English
- Strong people management skill
- Positive attitude and positive approach to working with peopl
- Able to work independently as well as a good team player with good initiative
Key Responsibilities
1. Activities
- Develop a sound working knowledge of the Music Programme and its requirements;
- Manage the Music Tuition registrations, withdrawals and waitlist;
- Be the first point of contact for parents, students and staff visiting the music department;
- Monitor daily attendance of music lessons via SOCS;
- Produce and update the Music Tutor Handbook to include up-to-date information;
- Assist with the planning of the annual tutors meeting;
- Ensure the Tutor’s contact information is current;
- Maintain the instrument inventory and monitor servicing and maintenance of all instruments;
- Daily communication with parents, tutors and students and
- Responsible for keeping the music common areas and tuition teaching rooms operational.
2. Communication
- Liaise daily with the following people:
o Music tutors
o Heads of Music and Music Faculty
o Music Manager
o Director of Music
o Whole School – teachers, students, front offices and parents
- Monitor the tuition timetables in conjunction with the terms and conditions of the programme;
- Notify tutors of upcoming calendar events;
- Communicate with Tutors in regards to attendance to ensure communication with parents is accurate;
- Promote choices available to students and their parents;
- Deal with enquiries from parents regarding the tuition programme and Music Ensembles;
- Assist Tutors when required with outstanding payments;
- Implement ad hoc timetable changes when required and
- Work with Co-curriculum team on regular basis.
3. Administration
- Demonstrate proficiency in computer skills to administer the music tuition programme;
- Ensure full customer relations are adhered to all times with parents;
- Processing claim forms & invoices for the Music Department
- Assist students and tutors daily when lessons or activities are cancelled;
- Ensure all records of student changes for lessons are updated;
- Ensure all Instrument borrowing is collated and kept up to date, to include inventory servicing and returns and
- Maintain fire Drill records for tutors.
4. Special projects
- Assist with external music exams;
- Assist with the lesson timetabling as needed;
- Assist with the Music Recital series;
- Facilitate all music enrichment programmes.
5. General
- Have a sound knowledge of Tanglin systems, including code of conduct for students;
- Ensure full duty of care for students is adhered to at all times;
- Work with a positive attitude to the needs of the student;
- Adopt a flexible approach to working hours based on the needs of the music tuition programme and
- On an annual basis complete the Review and Development exercise and undertake identified development opportunities. Maintain an accurate and up to date record of all Professional Development opportunities.
- Be responsible for reporting any concerns about a child to the Designated Safeguarding Lead.
