Art General duties

• To assist the art dept with acquisition of materials (receiving, DO processing of purchases, sorting and keeping purchases) as well as do paperwork for condemnation of obsolete or damaged items, carry out disposal
• To manage maintenance and upkeep of Art rooms and resources in the Art Block (6 Art rooms and Kiln room, Woodwork room, darkroom and other related areas, including art materials and assets. E.g, Drill press, Bend Saw, 3D printers)
• To supervise students at work when no teaching staff is around, invigilate tests and internal exams when called upon for assistance.
• To provide support in managing the attendance of Sec 1-4 AEP Centre students and communicate with sending schools and parents on results and other admin matters
• To oversee security of the art rooms by monitoring CCTV data, locking up rooms at 6pm.
• To provide support and logistical assistance for department and students’ participation (Eg SYF Art Festival) and organisation of art exhibitions (Eg in 2025, Art Festival)
• To assist in photo-documentation of students at work for purposes of T&L review
• To oversee any repairs or renovation works being carried out (E.g. Renovation of art gallery)

Music General duties

• To assist the music dept with acquisition of materials and resources/instruments, repair of instruments as well as all related admin related to procurement of goods or services (receiving, DO processing of purchases, sorting and keeping purchases)
• To assist in the maintenance and upkeep of the 5 music-learning rooms, including management of the library, cataloging and stock-taking
• To supervise students at work on occasions when teaching staff is not around.
• To oversee security of the art rooms by monitoring CCTV data, locking up rooms by 6pm during term time.
• To assist in setting up for lessons in terms of instruments / computer / electronic set up
• To assist in setting up of video cameras for practical examinations

Requirements

• GCE ‘O’ Level certification or its equivalent
• Have some prior experience in a makers space or art studio environment
• Have prior experience working on several projects or several teams concurrently.

Working hours

Pre-operative Issues

Accounts Receivable 70%

• Record and posting of customer payment/receipts
• Update daily cash book
• Send Monthly SOA to customers every 1st week of the month
• Manage relationship with customers, include attending to queries and resolve disputes
• Liaise with internal department to resolve issues and disputes
• Send weekly update AR report to HQ (Friday) and respective sales representative for review
• Distribution & allocation of Customers funds to various internal station
• Update of weekly foreign exchange rate into in house system
• Handle internal settlement with other subsidiary stations

Admin Duty 30%

• Arrange bank transfer upon receive of payment requisition.
• Enter payment entry into Company System.
• Update of staff leave.
• Email GST payment status on every Friday.
• Reimbursement staffs claim
• Print out time sheets on 21st of every month
• Purchasing of pantry / stationery or warehouse items if required
• Accrual entry for staff claim & sundry creditors
• Will need to attend workshop if required (During general repair works)
• Daily visitor pass & airport pass application.
• Handle company events & HR support

Responsibilities

• Ensure matching procedure is in place for payments processing purposes
• Resolve all invoices discrepancies and respond to enquiries on payment status
• Monitor and prioritize invoices for urgent payments
• Ensure proper and timely settlement of all invoices from vendors.
• Ensure all fully paid invoices/documents are clearly marked as paid and filed in an orderly manner within the accounting system.
• In charge of month end posting for all payment entries
• Perform bank reconciliation after passing adjustment journal entry in system cash book
• Assist in preparation of audit schedules
• Compile all the Import clearance permits for GST filing purposes
• Filling and keeping proper records of the payment documents
• Process staff claim
• Confirm and record all intercompany transactions and balances with the subsidiaries in the group accurately
• Train new staff in the AP process and operation flow
• Carrying out of ad-hoc tasks assigned
• Assist the Finance Manager and team in any ad hoc requirements or projects
• Assist in yearly stock take

Job Requirements

• Minimum a Higher Nitec/Diploma in Accounting or equivalent
• 2-3 year of experience in Accounts payable
• Able to read, write and communicate in English
• Good in Microsoft Office
