Saturday: 8 30am - 2 30pm (1 Saturday Shift Every 4 Weeks)

The main responsibilities and tasks of this position are as listed below, but not limited to these:

• Maintain daily mis-en place and prepare ingredients 
• Inspect and clean food preparations areas, to ensure safe and sanitary food-handling practices 
• Ensure the highest standards and consistent quality in the daily preparation 
• Keep up to date with the new products, recipes and preparation techniques 
• Have full knowledge of all menu items, daily highlights and promotions  
• Effective communication between colleagues to ensure a secure and friendly working environment 
• Establishing and maintaining effective inter-departmental working relationships 
• Consistently offer professional, friendly and proactive guest service while supporting fellow colleagues 
• Efficiency in preparations and execution 
• Provide a level of Safety and Security for all team members whilst working 
• Follow guidelines provided in Colleague Handbook 
• Adhere to the hotel standards on personal hygiene and cleanliness on and off duty 

Duties and responsibilities:

- Report to the Administrative Manager.

- Perform general administrative duties to ensure the smooth running of the office operation, such as sourcing and maintenance of office supplies and utilities, and maintaining the office calendar.

- Cover the reception area during the receptionist’s absence and lunch break. Eg. Answer phone calls, and attend to visitors.

- Prepare business letters, reports and office memos.

- Assist in planning and scheduling office maintenance needs.

- Assist in applications or subscriptions of utilities and other services, including form fillings, document submissions, contract proofreading and other follow-up matters.

- Assist in a wide range of travel arrangements for staff､ suppliers and clients､ etc., including but not limited to travel document application or renewal, obtaining letters of invitation where applicable, flight､ accommodation and transportation arrangements, making enquiries to address travel-related concerns, and coordinating travel arrangement with multiple parties, working outside office hour whenever necessary.

- Communicate with Admin staff outside Singapore and other counterparts effectively on daily matters.

- Assist in company events from planning to execution.

- Assist in the implementation and follow-up of Safe Management Measures.

- Assist in all general ad-hoc duties.

- Carry out other duties and responsibilities assigned by the Company from time to time.

Requirements:

- Minimum 2 years of relevant working experience

- Diploma in Business or a diploma in a related field

- Fluent in spoken and written English

Job Description

1. Manage daily leave & attendance via time software, including leave type entry, entitlement, application, certificate collection & approval and daily employee’s attendance.

2. Processing monthly payroll for designated job sites including processing new hires, terminations, transfers, and promotions.

3. Reviewing and verifying source documents as well as investigating and correcting payroll discrepancies.

4. Ensure timely & accurate submissions in all government and related claims, e.g., levy Wavier, Childcare Leave, Maternity/Paternity Leave, NS makeup claims, income tax (IR21) matters etc.

5. Provide advice, information and support to department managers and employees on HR policy and Leave Balance, etc.

6. Maintain & regularly update the master database (personal file, personal database) of each employee.

7. Administer training related matters including coordination or enrolment of internal & external courses, update & maintain training record etc.

8. Prepare employment contract, confirmation letter, increment, promotion and HR-related letters

9. Assist in performance review process & administer performance appraisals

10. Work closely with operations to manage recruitment exercises, ranging from liaising with candidates, interview arrangement, on-boarding for new hires. orientation, guidance on policies

Requirements

• GCE 'A' level, diploma or higher in relevant discipline.
• 1-2 years of relevant experience
• Meticulous, pro-active, multi-tasking and able to work under tight timelines.
• Proficient in computer application, i.e. Microsoft Office.

YOUR MISSION _________

• Responsible for product performance and category analysis including analyzing sell-in/out information for SEA & India on monthly basis, Beaute research data, competitor analysis as well as qualitative feedback from markets to identify regional needs and opportunities
• Lead & manage new launch, limited editions, TOA & samples and promo sets forecast and allocations in alignment SEA Senior Marketing Manager based on business & marketing ambitions, consolidate new launch forecast feedback and ensure local markets to place order TOA & samples orders in timely manner
• In charge of new launch sales tracker and feedback, monthly reports submission and consolidation of market reports. Partner with SEA Marketing Executive to work on new launch full recap report presentation
• Work together with Commercial Team and SEA SMM to identify & propose BOTF Assortment for Sephora based on Minis strategy and sales potential
• Manage new product regulatory & registration in Singapore and Malaysia in coordination with Registration Team from JV Partner to ensure timely registration before launch, update new product registration masterfile
• In charge of Sephora Brand Planning Template submission and OMNI NIF creation
• Update product assortment list, work with VM team on planograms and promo set stickers
• Monitor new product supply in partnership with SEA demand planner, report product QA issues to HQ
