Job Responsibilities

• Execute basic administrative tasks to ensure the smooth functioning of daily operations, including ensuring office lightings, aircon and switches are turned on/off based on office hours.
• Efficiently organise and oversee professional and personal scheduling as personal assistant for the Managing Director, encompassing meeting agendas, mail, email correspondence, phone calls, and occasional errands.
• Collaborate with clients and internal stakeholders in meetings to facilitate seamless communication and coordination.
• Manage and maintain office systems, including answering of phone calls, emails, data management and data entry tasks.
• Consolidate global sales reports and aggregate data to derive key performance indicators (KPIs).
• Contribute to the development of reward programs based on performance metrics.
• Uphold the highest standards of professionalism and confidentiality in handling all materials.
• Engage with both internal and external executives on various projects and tasks.

Job Requirements:

• Possess 2-3 years of relevant work experience in a similar capacity.
• Exhibit excellent presentation and organisational skills.
• Demonstrate strong communication and interpersonal abilities, with an approachable and friendly demeanour
• Proven capacity to work effectively under pressure and adapt to evolving circumstances.

SENIOR SALES & MARKETING EXECUTIVE

Responsibilities

• Provide support to the Business Development (BD) team, including preparation to bid proposal materials and tender submittals.
• Execute administrative work for the department including facilitate internal meetings, maintain external business registrations and schedules.
• Assist to design / update marketing materials such as company profiles, brochures and application notes, and presentation ppt slides.
• Maintain and optimize the company website and social media platforms (Linkedin etc)
• Upkeep and custodian documentation, including workflow, templates, track records etc.
• Handle customer inquiries, and forward to relevant BD manager(s).
• Assist to update and generate monthly reports for Sales and marketing performance.
• Administrative liaising with external insurance brokers & end-customers for fulfilling required insurance/bonds requirement for both secured project contracts and own company’s insurance coverage needs.
• Administration works to maintain the partnership with external technology or solution partners (such as arrange for product trainings & certification courses required for partnership, participation to their events etc).
• Maintain strong and clear communications with respective stakeholders.
• Support workshops, seminars, trade shows, and exhibitions.
• Any other duties assigned by the Head of Business Development.

Qualifications

• Diploma or Degree in Business Administration, Marketing or equivalent.
• Knowledge of tender process and quantity surveying.
• A team player with excellent interpersonal, analytical, and communication skills.
• Exceptional organizational and time management skills.
• Proficiency in MS Office suite and other relevant software.
• Knowledge to Contracts Management is a plus.

POSSESS FORKLIFT LICENSE PREFERENCE.

• ABLE TO PERFORM PHYSICAL, HANDS-ON WAREHOUSE HAND TASKS AS ASSIGNED.

• BILINGUAL SPEAKING (FOR COMMUNICATION WITH COLLEAGUES)

•ASSIST IN HANDLING INDOOR PACKING ACTIVITIES.

• PICK UP GOODS & PLACE THEM IN DESIGNATED LOCATIONS TO BE READY FOR COLLECTION OR FOR DAILY DELIVERIES.

• ENSURE PACKING LISTS (OR PICKLISTS) ARE PROCESSED 100% ACCURATELY AND ON TIME FOR COLLECTION OR DELIVERY.

• ASSIST DELIVERY DRIVER TO CHECK & LOAD GOODS UNTO VAN OR TRUCK.

• STACKING OF INCOMING GOODS ONTO PALLETS AND TRANSPORTING THEM TO THE DESIGNATED SHELF LOCATION.

• REPACKING OF BLISTER PACKS, BUNDLE ND ETC.

• OTHER DUTIES WHICH MAY BE ASSIGNED FROM TIME TO TIME BY THE SUPERIOR.
