The Senior / Accounts Executive – Accounts Payable’s core responsibilities are audit, processing and timely payment of all hotel payments.

What will I be doing?

As the Senior / Accounts Executive – Accounts Payable, you will be responsible for performing the following tasks to the highest standards:

• Responsible for leading and ensuring the smooth and effective operation of the Accounts Payable function.
• Account for and audit all purchase orders, receive records and suppliers’ invoices (purchase invoices matching procedure).
• Ensure all invoices have proper supporting documents and authorization before processing payment.
• Follow up on any discrepancies noted between supplier invoices and relevant supporting documents.
• Ensure proper filing of Hotel supplier contracts and updating of supplier contracts listing.
• Review and ensure accurate updating of cost distributions and account codes for all suppliers’ invoices and credit memos before finalising of monthly profit and loss accounts.
• Ensure that proper supporting documents are obtained before assisting with the creation of Vendor accounts in accounting system.
• Balance suppliers’ monthly statements to the hotel’s accounting records and follow up promptly on any discrepancies noted.
• Answer suppliers’ and other parties’ queries relating to payments and suppliers.
• Assist with month-end closing journals relating to Accounts Payable and Accruals.
• Review month-end Accounts Payable ageing report and provide explanation for unpaid invoices aged over 60 days.
• Carry out any other reasonable duties and responsibilities as assigned by Cluster Accountant.

Job Description

• Bookkeeping of AP and AR in the accounting system.
• Prepare GST report submission and bank reconciliation.
• Liaise with external accountants, clients, and internal staff.
• Responsible for month-end closing.
• Preparation of monthly financial reports, including assurance of accurate and timely results.
• Work closely with operations and related entities in operational and accounting matters.
• Facilitate the preparation of delivery orders and invoices and coordinate delivery schedules.
• Oversee inventory management.
• Performing ad-hoc assignments as given.

Requirements

• Minimum Diploma in Finance/Accounting or relevant Professional Accounting Qualification.
• At least 2 years of relevant experience in this role.
• Able to work independently while maintaining a strong team spirit.
• Possess initiative and ability to organize and prioritize work.
• Able to work under pressure and meet deadlines.
• Knowledge of Autocount will be advantageous
