Roles and responsibilities:

1. Recruitment (~50%)

Oversee the recruitment and management of various full-time positions, including ICT trainers, software developers, and healthcare assistants, as well as facilitating mid-career traineeships and internships.
Lead comprehensive recruitment processes from start to finish, encompassing tasks like candidate sourcing, conducting interviews, assessing qualifications, and executing initial interview rounds.
Deliver constructive feedback and assessments of candidates post-initial interview rounds to hiring managers, internal stakeholders, or external stakeholders as needed.
Sustain a robust talent pool, ensuring a readily available resource of potential candidates for future requirements.

2. Staff Deployment Management and Support (~35%)

Coordinate the strategic deployment, relocation, and succession planning of seconded personnel to ensure seamless continuity at client sites.
Oversee employee advancement, fostering a vibrant and efficient company culture while monitoring individual progress.
Address HR inquiries from colleagues and manage grievance cases when necessary.
Contribute to monthly payroll activities and facilitate government program claims (e.g., traineeships) for optimal operational support.

3. Overseeing and optimizing training initiatives (~15%)

Collaborate extensively with internal stakeholders to implement HR initiatives aimed at enhancing company performance and fostering increased efficiency among employees.
Assess the training requirements of new hires and actively guide them through the necessary training programs.
Regularly interact with colleagues to evaluate their needs and recommend training when required.

Requirements:

A degree or diploma in human resource management, social sciences, or a related field.
Possess a minimum of 1 year of relevant work experience; however, applicants lacking relevant experience are welcome to apply and will be evaluated on an individual basis.

Career Conversion Programme Available

We are looking for talented individuals who are keen to enter the Education Industry as a HR Executive under our Career Conversion Programme (CCP). This is a full-time, where you will undergo 4 months of On-the-Job Training (OJT) with the aim of transforming you into an industry-grade full time professional in this field while working together with our team.

HR Executive Responsibilities:

1. Recruitment

Manage recruitment for Full-time Roles (e.g. ICT Trainers, Software Developers, eLearning Specialist, Business Analyst), Traineeships and Internships
End-to-end recruitment activities: sourcing, interviewing, qualifying candidates and conducting of first round of interviews
Provide feedback and evaluation of candidates after first round of interviews to your Hiring Manager, Internal Stakeholders, or External stakeholders, where appropriate
Maintain a talent pipeline of candidates to call upon when required

2. Retention

Strategic planning of deployment, movement and replacement of seconded staff to ensure continual placement at the client’s site
Monitor employee’s progress and ensure the company culture stays positive and productive
Answer HR-related queries of fellow colleagues and handle grievance cases if required
Assist with monthly payroll and government programme claims (e.g. traineeship)

3. Retraining

Work closely with Internal Stakeholder to roll out HR Initiatives that will benefit the Company and encourage more efficient work from employees
Gather the training needs of new hires and work with them on the trainings to be completed
Engage fellow colleagues on a regular basis to assess and provide any ad-hoc trainings that can be provided

Job requirements

Have a degree or higher (does not need to be HR-related)
At least 2 years of working experience.

Need to be comfortable with working with multiple stakeholders

Job Scope:

- Handle Day-To-Day Business Operations of Singapore's #1 Education Agency

Position Overview:

As an Administrative Assistant at Poeme Labo Pte Ltd, you will be at the heart of our operations, ensuring the smooth functioning of our office and contributing to the optimization of our operational processes. Your role will encompass a diverse range of administrative tasks, coordination with external partners, and enhancing the overall operational efficiency of our startup. The ideal candidate is proactive, highly organized, and possesses excellent multitasking skills.

Key Responsibilities:

Welcome and assist visitors, clients, and employees with a warm and professional demeanor.
Manage incoming calls, directing them to the appropriate person or department.
Handle incoming and outgoing mail and packages.
Ensure a clean and organized office environment.
Manage inventory and procure office supplies, ensuring availability.
Oversee office equipment/assets and liaise with service providers when necessary.
Provide administrative support to various departments, including scheduling meetings, and coordinating calendars.
Support all administrative issues, including case submission, treatment plan follow-up, and spreadsheet/portal updates.
Assist in organizing company events, meetings, and workshops.
Solicit quotations and negotiate prices with vendors
Maintain records of supplier communications and agreements.
Liaise with suppliers to ensure timely delivery of materials and services.
Conduct monthly stock takes to maintain accurate inventory levels.
Perform quality control checks and meticulously pack products.
Maintain records to ensure product accuracy before delivering clear aligners to customers.
Actively participate in various ad-hoc projects and duties as required to support the company's growth and operational objectives.

Qualifications:

Minimum GCE 'O' Level
Experienced in office administration is a plus
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Outstanding organizational and multitasking abilities. Capable of working independently.
Effective verbal and written communication skills are essential. Proficiency in Chinese is an added advantage.
Attention to detail and effective problem-solving skills.
Professional and approachable demeanor.
Ability to maintain confidentiality.

The Service Operations Executive is responsible for ensuring the readiness to support business operations. Service Support

Collaborate with clients and internal stakeholders to gather information required to ensure smooth deployment
Identify potential issues and proactively escalate internally to prevent delivery delays.
Provide updates to the customer in a timely and professional manner
Prepare work orders and documentations necessary for provisioning and service installation
Verify provisioning details and service connectivity after service delivery
Maintenance of customer contract records in Company's ERP system

Job Requirements

Candidate must possess either a Diploma or Degree in Information Technology/Computer related course. Fresh Graduates are welcome to apply
Experience gained from the Telecommunication or Information Technology industry either from internship (OJT) or actual work is an advantage.
It is an advantage to have basic knowledge of TCP/IP, LAN, and WAN concepts and Internet application (Email/Web/Domain)
Active interest in learning and maintaining technical skills & knowledge
Strong verbal and written communication skills
Good interpersonal skills and able to work within the team
