Location: Gul Circle
We are seeking a Human Resource (HR) & Admin Executive to assist the HR & Admin Manager in handling a broad range of HR activities and providing comprehensive HR services to our business. This motivated and detail-oriented individual should work independently, demonstrate a sense of urgency to meet tight deadlines and embrace a service excellence mindset. The ideal candidate should be passionate about addressing organizational and employee needs and concerns.
Main Responsibilities:
- Manage various HR tasks, including HR policies, Unit4 Prosoft HRMS, talent acquisition, on/off-boarding, compensation and benefits, and learning and development.
- Support management in overseeing administrative and operational aspects of the work environment.
- Prepare HR-related documents such as employment contracts, resignation acknowledgments, staff confirmation letters, and promotion letters.
- Handle end-to-end recruitment processes, from interviews and reference checks to employee onboarding and new hire orientation.
- Address manpower hiring issues by proposing recruitment plans and initiatives.
- Conduct exit interviews to gather feedback for improved employee retention and manage exit clearance processes.
- Maintain accurate and up-to-date employee records in the database and P-files.
- Administer work pass applications/renewals/cancellations, including purchasing security bonds and managing foreign worker quotas.
- Process insurance claims for Group Hospital & Surgical, Group Personal Accident, and Work Injury.
- Manage end-to-end processing of monthly payroll, ensuring accuracy and compliance with policies and statutory requirements.
- Maintain training records and administer training for employees.
- Plan, coordinate, and organize meetings, events, and other related tasks.
- Procure office supplies, business cards, company stamps, uniforms, etc., and issue them to employees.
- Assist with general administration and other ad-hoc tasks as required.
Professional Background:
- Minimum Diploma in Human Resources Management.
- At least 3 years of HR-related experience.
- Proficient in Microsoft Excel, Word, Outlook, and PowerPoint.
- Knowledge of Unit4 Prosoft HRMS is an advantage.
- Strong understanding of HR principles, practices, and local labor legislation.
- Independent, self-confident, and self-motivated.
- Able to work under pressure with a sense of urgency to meet tight deadlines.
- Service-oriented with excellent interpersonal and communication skills for dealing with employees at different levels.
- Resourceful with an analytical mind and problem-solving aptitude.
- Excellent verbal and written communication skills.
- Bilingual in English and Mandarin (for communication with Chinese-speaking colleagues).
