• Tenancy Management: Oversee and coordinate all aspects of tenancy and leasing matters, including generating invoices, updating sales reports, and managing lease agreements.

• Landlord and Tenant Liaison: Act as a primary point of contact between landlords and tenants, addressing tenancy issues and fostering positive relations.

Requirements

• Diploma in Building & Property Management, Business Administration, or a related field.
• Minimum of 2 years of relevant experience in contract management or in a role supporting a legal or leasing department.
• Strong written and verbal communication skills with an ability to interact effectively across different teams.
• Proficiency in English and a second language is preferred.
• High initiative, strong customer service skills, good phone etiquette, and the ability to work under pressure in a fast-paced environment.
• Open to working on day(s) that fall on weekends if required.
• Able to start work in short notice will be preferred.

Key Responsibilities:

• Trust and Estate Administration: Managing the day-to-day administration of trust portfolios, including but not limited to opening new bank or brokerage accounts, distribution to beneficiaries, fund transfer, and investment management.
• Carry out periodic reviews of assigned trust portfolios to ensure they are being administered in accordance with the trust deeds, the company’s policies, and legal and tax requirements.
• Maintaining accurate and updated trust records. Create Viewpoint Master files, set up and uploaded all trust documents into ViewPoint and maintenance of all necessary principal records and trust files.
• Acts as a primary point of contact for trust clients and ensures transparency in trust administration by providing high-quality customer service to clients, building strong relationships, and maintaining a client-focused approach.
• Ability to draft trustee minutes, resolutions, or any trust related documents.
• Administration of trusts and foundations, including its underlying structure and portfolios.
• Work closely with other departments to coordinate services for clients.
• Collaborate with professional advisors, investment managers and banks in the management of the assets of the trusts and foundations.

Qualifications Requirements:

• Bachelor's degree in business administration, law, finance, accounting, or relevant field.
• Minimum 2 years of experience in Trust Administration or relevant. 1 year+ of experience in solid Trust Administration will be considered and are strongly encouraged to apply (remuneration will commensurate with experience)
• Solid understanding of relevant trust laws and regulations related to trusts, estate planning, taxation, and fiduciary responsibilities.
• Strong analytical skills, attention to detail, and problem-solving abilities.

Job Description

Position : Contract of British & Malayan Trustees Limited (BMT)

Role:

· Manage the day-to-day administration of a portfolio of Trust accounts, reporting to the Head of Trust Administration

Responsibilities:

· To assist with the on-boarding of new clients and obtain the requisite AML/KYC documentation, review of Source of Funds & Source of Wealth information.

· To assist in setting up master file for trust cases and ensure timely filing of documents

· To assist in the asset(s) transfer into the Trust setup, including opening bank accounts.

· To assist in the direct distribution of funds to Beneficiaries such as preparation of distribution checklist and ensuring identification documents are updated.

· Perform any other ad hoc administrative assignments.
