About the Role:
We are looking for a proactive and experienced Soft Services Facilities Manager.

In this role, you will oversee the delivery and quality of soft services to ensure a safe, efficient, and welcoming environment for both employees and visitors. You will play a key part in driving service excellence, managing vendor relationships, and ensuring compliance with industry standards, all while maintaining the highest levels of customer satisfaction. Key Responsibilities:

• Manage the daily operations of soft services such as cleaning, waste management, pest control, landscaping, and security.
• Develop, implement, and maintain service standards and operational procedures to ensure a high level of service delivery.
• Supervise and lead a team of facilities staff, providing training, motivation, and performance management to ensure service excellence.
• Foster strong relationships with external vendors and service providers, ensuring compliance with contracts and service level agreements (SLAs).
• Monitor and evaluate the quality of services provided, conducting regular inspections and audits to identify areas for improvement.
• Coordinate the response to emergency situations, including ensuring prompt action in case of facility breakdowns or safety issues.
• Manage the budget for soft services, ensuring cost-effectiveness while maintaining service quality.
• Ensure compliance with all relevant safety, health, and environmental regulations.
• Prepare reports for senior management on service performance, budget utilization, and key metrics.
• Collaborate with other departments to align soft services with broader organizational goals and requirements.
• Provide leadership and guidance in handling customer feedback and resolving issues to maintain high satisfaction levels.

What We’re Looking For:

• Minimum of a Diploma or higher qualification in Facilities Management, Business Administration, or a related field.
• At least 3-5 years of experience in facilities management, with a focus on soft services.
• Strong knowledge of soft services operations, including cleaning, waste management, and security services.
• Excellent leadership skills with the ability to manage and motivate a diverse team.
• Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
• Strong communication skills, both written and verbal, with the ability to interact with stakeholders at all levels.
• Experience managing vendor relationships and negotiating contracts.
• A proactive, solutions-oriented approach with a focus on continuous improvement and customer satisfaction.
• Knowledge of relevant local regulations and compliance standards.

Job Scope:

This role is responsible for overseeing all aspects of project planning, client and subcontractor management, design adherence, budget control, and sourcing materials. The PM will work closely with design teams and clients to ensure project timelines, quality standards, and profitability objectives are met.

A. Time Line Management

• Develop comprehensive project timelines and manage order of project fabrication.
• Identify critical time frames and allocate time slots to finalise designs with the design team.
• Ensure that project details are reviewed and finalised with designers at least one week prior to the commencement of work. Exceptions will be made for projects with very tight lead time.

B. Client Management

• ● Identify and document defects, secure necessary client approvals, and communicate deliverables.
• ● Liaise with clients regarding deliverable schedules based on sub-contractor timelines, team availability, and overall project inputs, including time, cost, and design requirements.

C. Cost Management

• Scope out, cost, and budget projects based on targeted design (TD) to ensure design integrity.
• Break down costs and ensure clear documentation to achieve profitability while maintaining high standards.
• Manage Profit and Loss (PnL) to ensure project profitability.
• Calculate and submit final PnL

D.Procurement and Supplier Coordination

• Procure materials, furnishings, and other project items according to the design specifations provided by the design team.
• Coordinate with sellers, suppliers, and vendors to ensure timely and cost-effective procurement of materials.
• Negotiate pricing and manage relationships with suppliers to ensure alignment with project budgets and timelines.

E.Design Adherence

• Ensure that design standards are met and maintained, applying creative problem-solving to address fabrication challenges.

F.Subcontractor Coordination

• Effectively communicate with subcontractors regarding design specifications and fabrication methods.
• Utilize basic sketching or hand-drawing skills to convey design concepts where necessary.
• Submit invoices from Subcontractor upon completion of their jobs via email

G.Defect Rectification

• Provide defect rectification works for past completed projects
