Duties and Responsibilities

• Provide a “best in class” service to all clients.
• Always maintain and inspect all conference rooms and pantries in good and clean condition.

About the role

This is an exciting opportunity to join VINCAR as an Executive Assistant. In this role, you will provide high-level administrative and executive support to our senior leadership team. Your ability to anticipate needs, prioritise tasks, and manage complex schedules will be essential to the success of this position.

What you’ll be doing

• Provide executive-level administrative support, including calendar management, travel coordination, and meeting preparation.
• Manage and prioritise incoming correspondence and communications on behalf of executives.
• Assist with preparation of presentations, reports, and other business documents
• Liaise with internal and external stakeholders to ensure seamless coordination and execution of tasks.
• Maintain confidentiality and exercise discretion when handling sensitive information.
• Support the overall operations of the business and perform other ad-hoc duties as required.

What we’re looking for

• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Experience with project management tools is a plus.

Sales Supervisor Job Responsibilities

• Supervise the activities of the sales team including marketing activities like product activations.
• Prepare sales presentations and other sales tools.
• Initiate sales activities, strategies, and sales plans required to build brand visibility.
• Develop and maintain accurate records of prospects, leads, pricing, sales activities, and active clients.
• Controlling company marketing expenses to ensure the marketing expenditure is kept within budget.
• Attend trade shows and other marketing events and represent the organization.

Responsibilities:

• Receptionist duties - Good standard of customer service - greeting and assisting patient enquiries - answering phone calls, emails and texts; registration and scheduling patients; handling billing and transactions; keeping patient records and paperwork organized. Assisting Chiropractors when required. Tidying up of clinic.
• Clerical/Administrative Support - copying, typing letters, scanning. Maintenance and upkeep of clinic; Ordering office stationeries and stocks.
• Procurement and sales of clinical products. Assist in the management of clinic products’ inventory: monitoring stock levels and ordering, packing and arranging courier services and etc.
• Additional Skill(s): Computer literate - Windows, Microsoft Office, Social media, Multilingual, Stock Take, Bookkeeping.
• Maintenance/upkeep of the clinic. Housekeeping: ensuring the cleanliness and hygiene of the clinic.

Responsibilities:

• Be a centralised person to handle all invoicing matters
• Be a key person to liaise with relevant parties to chase for their outstanding payment responses and to submit payment certificates on time
• Arrange with site personnels for delivery and collection of goods
• Assist Business Operations Executives in other administrative matters

Requirements:

• Minimum Higher Nitec or Diploma in any field or equivalent
• Operationally driven
• Knowledge on how to use SAP Business One is an added advantage, but not a requirement
• Good coordination and interpersonal skills
