- Develop, review, and enhance administrative systems, policies, and procedures.
- Oversee and manage daily operations, including reception, mailroom functions, and general office management.
- Track and manage costs and expenses related to office operations, including supplies and equipment, and prepare the budget for the office management area.
- Collaborate closely with internal stakeholders on office management issues.
- Coordinate with the landlord and Building Managing Agent (MA) on office management matters.
- Lead the digitization of documents and the management of records.
- Supervise office renovation projects.
- Workplace Safety and Health (WSH) Committee:Create, implement, and maintain WSH plans to ensure ongoing improvement in WSH performance and compliance.
- Ensure adherence to the WSH Act, relevant regulations, and contractual WSH obligations to safeguard all personnel.
- Conduct regular safety inspections to confirm that work activities comply with WSH standards.
- Identify unsafe work practices or conditions and suggest appropriate corrective measures.
- Communicate and coordinate with contractors on WSH issues to ensure effective and clear communication.
Follow up on outstanding safety-related issues to ensure prompt resolution.
- Fire Warden:Check with the landlord/MA when the fire alarm is activated.
- Participate in tabletop exercises conducted by the landlord.
- Prepare attendance lists for fire drill exercises.
- Oversee the evacuation of staff during fire drills.
- Review and update the evacuation plan as necessary.
- Support human resource operations as part of future career development.
- Perform any other ad-hoc tasks as assigned.
Requirements:
- With Diploma or Higher in related field.
- At least 3+ years of relevant work experience in office management, facilities management, project management
- Proficiency in Excel, Words and Powerpoint
