Project Analyst (Business Management Support)

· Bachelor Degree in a related field

· Proven experience in strategy development, business management, and financial analysis

· Spearhead the department’s internal communication and engagement plan - assist in the planning, execution, and/or coordination of meetings, forums, and/or internal events. Responsible for regular and ad hoc senior management reporting and presentations

· Monitor and report on key performance indicators (KPIs) to track business and operational performance, and identify areas for improvement

· Oversee smooth functioning of day-to-day administrative activities with support of the department's Executive Assistant

· Support orchestration and delivery of governance mechanisms ensuring that appropriate decisions, forums and documentation are made to support running of department

Requirements:

· Project management experience, demonstrating the ability to lead cross-functional teams to successful project completion

Roles & Responsibilities

You will oversee and lead a team of Admin Personnel in providing administrative support as well as customer service to the team and the residents.

• Reporting to Senior Admin Manager
• To collate/check on Staff Attendance Report and pass to GM for vetting on 7th of every month.
• Record / write minutes for Admin and Operations Monthly meeting.
• Human Resource - New Staff onboarding / resigned staff outgoing / Employee records / activate & deactivate staff access card.
• Facilities Booking/ Permits
• Sourcing, inviting and awarding Quotations for approved Admin contracts. Example - Insurance, Stationeries, Copier Toner, Paper and staf uniform
• Prepare Saturday Roasters for Admin and Call Centre team / Plan cover for staff absence and staff who are on leave
• Collation of new and renewal TOL. Liaise with Tenant and landlord and PO for missing documents
• Assist in sustainability projects
• Collating and submitting staff claims for transport, overtime and wellness benefits
• Co-ordination of various certification documentation for internal and external audits
• Summon offence notice on BES (By law carpark obstruction) till closure
• Booking of Badminton court.
• Cover PA during absense for writing minutes, preparing GM documents
• Overseeing daily reporting for permits/quarterly reporting on admin contracts ending to HDB
• Feedback system / CFMS system support
• Presentation at GM and HOD for admin related matters

Job Description:

• Should have 12+ years of working experience in large projects implementation, particularly in Transactional Banking / Swift Payment,Remittance,Cards
• Must have working experinece in managing the SWIFT Payment systems, Remittance and Cards systems in the Banking and Financial Services industries.
• Engage with delivery, hosts team and other partners.
• Overall Project Management: Responsible and track the quality, scope, timeline, effort (co-related to estimation, CR’s, complexity), resources (includes GTO, business, contractor, Professional Services resources as well as operations), Develop and execute the overall project plan and analyse project proposals which impacts the schedule and budget variance which in turn contribute to meeting the overall objectives of the project.

• Risk and Issue Management: Manage overall project risk, track risk aging, work through escalations, change governance and related issues. Implement the risk mitigation plans.
• Process Adherence: Partner with relevant stakeholders in ensuring that the system development methodology is followed, and the relevant artefacts are delivered on time with quality, in adherence to the development methodology/approach.
• Project Reporting: Measure, monitor and report progress to stakeholders at various levels of organization across the enterprise with the right quality, consistency in content. Implement project communication plan and review status reports prepared by project personnel and modify schedules or plans as required.
