About the Role

As an Administrative Assistant at Knight Frank, you’ll be the key person in supporting both residents and team. Reporting to the Condominium Manager, you will facilitate the onboarding of new residents and coordinate service requests, manage an efficient filing system. This role is ideal for someone with relevant experience in the service industry or residential development, strong communication skills, and proficiency in MS Office.

What you will be doing:

• Resident Support: Act as the first point of contact for residents and tenants, answering phone calls, handling enquiries and complaints with professionalism.
• Onboarding New Residents: Assist new owners and tenants in the application process for card access, keys and manage move-in/move-out logistics to ensure a seamless transition into their new homes.
• Service Coordination: Coordinate on-site inspections for contractors, Technician and Property Executive to promptly address residents’ service requests.
• Administrative Excellence: Manage petty cash and facility bookings. Provide administrative support by compiling weekly and monthly submissions for HQ Accounts. Establish and maintain an efficient filing system to streamline documentation and operations. Keep an accurate inventory of office stationery and track equipment maintenance records.

Job Description & Requirements

Job Description:

• Quantity take-off and cost estimation sourcing of contractors and suppliers
• Understanding the requirements, prepare and submit tenders with specific deadline
• Liaise and coordinate with the Consultants, Clients and Sub-contractors
• Contract and tender document administration
• Collaborate with project team and tender department to ensure all drawings are in order as per design requirements.

Requirements:

• Degree/Diploma in Quantity Surveying Mechanical Engineering (P&S, ELECTRICAL or ACMV & etc)
• Minimum 2-3 years relevant experience in building and construction industries.
• Fresh graduate is welcome to apply
• Possess strong project organizational skills, resourceful, energetic and able to work independently as well as in a team
• Good communication, interpersonal and problem solving skills
