Qualification and Competencies

• Experienced in Layer 1 Physical administration in enterprise DC and Port Environment.

Responsibilities:

• Prepare monitoring table for accu/decu and prepare valuation table to Trading Representatives (TR)
• Maintenance of margin on bonds / Unit Trust (UT) in MTS system
• Assist in handling Private Wealth Management (PWM) / High Net Worth (HNW) client-related tasks, including report preparation
• Other ad-hoc duties/projects as assigned by the Head of Department

What you'll do:

As an Administration Assistant, you will play a crucial role in ensuring smooth operations within the organisation. Your day-to-day responsibilities will include managing calendars, coordinating meetings, preparing travel itineraries and facilitating video and audio conferences. You will also be responsible for creating and updating documents using various Microsoft Office tools. Additionally, you will maintain the central database and Admin Portal while also administering Travel & Expense (T&E) in Concur system for Exec’s & team members. Your role will extend to coordinating office/department moves and facilitating events or company activities as required.

• Provide consistent level of Admin support across teams following the Administration Assistants Standard Operating Procedures (SOP)
• Manage Outlook Calendar scheduling and meeting bookings for Exec’s and teams; coordinate the arrangement of facilities such as meeting rooms, equipment, food & beverage etc.
• Prepare Exec and team member’s itineraries for travel, including visas, flights, accommodation, car pickup/drop-off etc.
• Facilitate video and audio conferences, including connectivity setup
• Create and update documents within Microsoft PowerPoint Word, Outlook and Excel
• Maintain the central database and the Admin Portal, ensuring information is up to date
• Administer Travel & Expense (T&E) in Concur system for Exec’s & team members

This is a 12 month contract role.

Key Responsibilities

1. Assist in the preparation and submission of monthly and quarterly management reports for entities under the Private Mobility Group
2. Prepare monthly accounts, including the preparation and post of recurring journal entries
3. Perform analytical review procedures of balance sheet and follow up with variance explanations and resolutions
4. Prepare GST return, corporate tax and deferred taxation and liaise with tax agent to ensure timely filing
5. Engage with external financial auditors and resolving audit, tax and accounting queries
6. Prepare cash flow projections and coordinate inter-companies confirmation within the group for payments and receipts. To work out borrowing requirements and placement of excess cash with holding company
7. Provide sound support to the business stakeholders of the Group
8. Ensure that processes and systems are running in an effective and efficient manner
9. Assist in preparation of annual budgets and presentations
10. Assist in testing activities for the new financial system implementation
11. Perform ad hoc duties as assigned by Management

Job Requirements:

1. Qualified Accountant with at least a degree in Accountancy or Professional Accounting Qualification

2. External audit experience with Big 4 a plus

3. Advanced Excel and Power Point

4. Experience in SAP and BPC would be highly advantageous

5. Committed, confident personality with strong communication and interpersonal skills
