Position Title: Operations Executive

Location: St. Hilda’s Primary School, 2 Tampines Avenue 3, Singapore 529706

Working Hours:

• Mondays to Thursdays: 7:00 am to 4:30 pm (inclusive of 1-hour lunch break) - 8.5 working hours
• Fridays: 7:00 am to 4:00 pm (inclusive of 1-hour lunch break) - 8 working hours
• Service not required on weekends and gazetted public holidays.

Note: Working hours may be adjusted based on operational needs.

Contract Duration:

• Contract Period: March 11, 2024, to March 10, 2025
• Option to Extend: The school reserves the option to extend the contract for an additional year (March 11, 2025, to March 10, 2026), subject to mutual agreement.

Job Description:

Are you detail-oriented, proactive, and passionate about ensuring the smooth operation of educational facilities? Join us as an Operations Executive at St. Hilda’s Primary School and play a crucial role in supporting our daily operations.

Key Responsibilities:

• Collaborate closely with the Operations Manager to ensure the seamless functioning of daily operations.
• Monitor and maintain the school's facilities and operating systems/equipment, ensuring they are in optimal condition. Follow up with vendors and Term Contractors (TCs) to rectify any defects promptly.
• Conduct regular checks on the school's perimeter, buildings, and infrastructure to ensure safety and promptly report any faults.
• Work closely with the team of Operations Support Officers (OSOs), TCs, contractors, and service providers to coordinate school events and activities effectively.
• Provide administrative support to the Operations Manager, including tracking contractors' work sheets, managing maintenance schedules, and assisting with procurement tasks.
• Liaise and correspond with external agencies such as HDB, Town Council, TCs, Managing Agent, and LTA contractors to ensure the school maintains a conducive environment for teaching and learning.
• Perform any other duties assigned by the Operations Manager related to the school's operations and safety.

Qualifications and Skills Required:

• Minimum of 1 year of experience in facilities or estate management, or a similar job scope.
• Experience in a school environment or similar setting is advantageous but not mandatory.
• Basic technical skills in Building and Mechanical and Electrical services.
• Fundamental understanding of fire safety or facilities processes.
• Strong oral and written communication skills, with the ability to effectively communicate with vendors and stakeholders.
• Proficient in basic Microsoft Office applications (Word and Excel).
• Minimum educational qualification – GCE 'O' level or ITE certificate.
