Job Description:

• Provide administrative/secretarial support to the Director
• Undertake administrative tasks such as billings, arranging couriers, meeting room bookings, making restaurant bookings, making travel arrangements (including booking of hotels and flights for both business and personal trips for the Director and his family), and arranging corporate gifting and logistics for off-site meetings (where necessary)
• Answer and filter phone calls and emails before directing them to the relevant departments
• Manage calendar including organising meetings, lunch and dinner engagements, scheduling appointments, and sending reminders
• Assist in preparation of presentation materials, reports etc.
• Prepare and manage communications via e-mail, phone and other channels on behalf of the Director

• Prepare claims related to crew travel expenses.
• Manage and record crew insurance claims due to medical issues or injuries.
• Oversee performance appraisals and career progression for seafarers.
• Ensure compliance with company policies and procedures for all crewing matters on assigned vessels.
• Apply for or renew Collective Bargaining Agreements for relevant vessels and ITF Blue Cards annually.
• Participate in annual crew budget planning and cost optimization.
• Ensure the well-being and welfare of the crew, addressing any issues or concerns promptly.
• Stay updated with and ensure compliance with international maritime regulations and standards.
• Be prepared to coordinate emergency responses and crew evacuations if needed.
• Organize and coordinate training programs for crew members to enhance their skills and knowledge.
• Perform additional duties as assigned by the Manager.

Requirements:

• Minimum Diploma holder with 1-2 years of relevant experience in the marine industry.
• Experience with Singapore port limit harbour craft manning processes, including the application and renewal of harbour craft crew work permits, manning licenses, pilot exemption certificates, mandatory MPA training and refresher courses, as well as Inland Revenue income tax for crew and MOM levies, would be an added advantage.
• Handle overseas manning agent & seafarers from Indonesia. Proficient in Bahasa Indonesia is an added advantage.
• Strong team player capable of working with minimal supervision.
• Proficiency in MS Office applications.
