Job Description

• Responsible for the effective and seamless planning and execution of inventory management related tasks and activities.
• Ensure proper inventory levels and prompt issue resolution through inventory planning and coordination with internal parties, service providers, and external parties.
• Oversee daily inventory management activities encompassing document, information, product and operations workflows.
• Responsible for the achievement of all inventory management related Key Performance Indicators (KPIs) as determined by the corporate operations and management.
• Create Purchase Orders and ensure compliance to inventory management and purchasing policies.
• Verify Order/Justification forms in alignment to inventory management SOPs.
• PO Management in areas of Pricing, Delivery Dates and revisions so as to achieve smooth downstream processes.
• Communicate, liaises & expedite Principals/Suppliers for deliveries confirmation.
• Review and verify any inventory adjustment request with corresponding supporting documents prior to updating the system.
• Support physical inventory count and reconciliation of the count result.
• Continually strive to challenge the processes to improve efficiency and productivity, reduce cycle time and optimise cost of conducting business.
• Support management and cross-functional teams/internal stakeholders with reports, analysis, and updates.
• Any additional ad-hoc duties assigned by manager.

Job Requirements

• Min. Diploma in Operations Management, Logistics, Supply Chain Management or any other relevant studies
• At least 1 year of working experience in similar industry
• Takes initiatives to gain in-depth understand of business and operational needs
• Any industry certification will be advantageous
• Pro-active, Independent, willing to learn and able to work with minimal supervision perform under pressure

Job Descriptions

• Managing all HR administrative duties including Recruitment, Employment, Onboarding, offboarding.

• Achieve monthly individual sales target

• Provide quality customer service; Notify customers ahead of time about special events, sales and merchandise in order to build long term relationships with the customers
• Perform store operation including floor sets, cleanliness, signage and sales promotion in professional standards
• Manage stock inventory level in an accurate & safe manner to ensure that all merchandise are properly stored & packed

Month-End Closing and Reporting

1. Financial Tracking and Reporting: Update the monthly financial tracker and reporting deck for various divisions and programmes.
2. Manpower Allocation: Perform quarterly or half-yearly manpower allocation and adjustments for products and programmes.
3. Central Cost Allocation: Allocate central costs to products and programmes on a monthly or quarterly basis.
4. Revenue and Expense Accruals: Prepare templates for monthly or quarterly revenue and expense accruals, including ad-hoc reclassification journals with supporting documents and approvals.
5. Month/Year-End Close Activities: Ensure all month/year-end close activities are performed on time with completeness and accuracy.
6. Issue Resolution: Timely follow-up on all outstanding financial issues.

Budgeting Operations

1. Project Collaboration: Work with project teams to identify purchase order lines for retagging/closure and fixed assets for transfer/re-tagging.
2. Budget Virement: Request and seek approval for budget virements between or across projects and cost centres when necessary.

Grants and Governance

1. Grant Recovery: Prepare templates with supporting documents to facilitate the recovery of grants and expenses.
2. Compliance: Ensure compliance with company policies, accounting standards, internal memoranda (IMs), and government policies.

Process Improvement

1. System Enhancements: Participate in continuous system enhancements and process improvement initiatives.
2. User Acceptance Testing (UAT): Perform UAT to ensure the logic and accuracy of system enhancements as per requirements.

Other Responsibilities

1. Ad Hoc Projects and Analysis: Undertake ad hoc projects and analysis work or any other duties assigned by the management.
