Position: Admin Executive

We are seeking an organized and efficient Admin Executive to provide comprehensive administrative support across the firm. The ideal candidate will possess strong multitasking abilities, exceptional communication skills, and the ability to manage various tasks simultaneously to contribute to the smooth operation of the office.

Role Duties:

· Manage company insurance, licensing, contracts, and landscape company register records.

· Organize, file, and maintain both hardcopy and softcopy files in accordance with company policies.

· Maintaining employee registry, disseminate the registry of employees contact internally.

· Email management for all employees.

· Monthly Office Briefing: Creation of calendar placeholder, and agenda.

· User administration and management of copier machine

· IP Phone user administration and management, coordinating with vendor, review and enforce improvement and evaluate cost efficiency.

· Assist in the preparation of regular reports, presentations, and documents as requested by management.

· Track inventory of office supplies, order supplies as needed, and ensure cost-effective procurement.

· Assist in the planning and coordination of company events, monthly office meetings, conferences, and team-building activities.

· Insurance renewal for vehicles, road tax, inspection, heavy parking license, disposing and purchasing of new vehicles.

· Other administrative tasks as required.

Candidate profile:

· Over 3 years of experience in handling office administration.

· Subject-Matter-Expert in administering Google Drive will be highly advantageous.

· Excellent interpersonal skills to communicate with multiple departments

· Proven ability to work under pressure.
