This is an exciting role that blends key administrative responsibilities with crucial parent-facing tasks to ensure smooth operations and enhance family-school partnerships.

Key Responsibilities

Administrative Duties:

• Manage and maintain accurate records of petty cash, daily collections, and enrolment reports.
• Input data into various platforms such as the ONE ECDA, including teacher details, Leave of Absence records, and subsidy information.
• Oversee the preparation and management of monthly logs, including school bus attendance and sign-in/out forms.
• Support parents with the purchase of uniforms, enrichment programs, books, and other school merchandise.
• Track school supplies and merchandise, conducting regular stock takes and ordering as necessary.
• Handle administrative tasks related to the collection of school fees, issuing receipts and invoices.
• Ensure children’s safety by assisting with school bus arrivals and departures.
• Assist the Principal with various administrative and operational tasks as required.

Parent Liaison & Communication:

• Act as the primary point of contact for parents, ensuring all queries and concerns are addressed promptly.
• Support the Centre Principal to facilitate clear and effective communication between parents and the school, keeping them updated on school events, policies, and their child’s progress.
• Maintain confidential records of all parent communications, feedback, and concerns.
• Support the management team in school improvement initiatives, particularly around enhancing parental involvement and communication.

Qualifications & Skills:

• Minimum qualification: A Diploma Business Administration, or a related field.
• At least 2–3 years of experience in an administrative or parent-facing role, preferably in a preschool or childcare environment.
• Strong organizational and multitasking skills, with the ability to manage various responsibilities simultaneously.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with school management software.

Purpose : This role is responsible for providing assistance in order fulfilment processes. He/she is also responsible to communicate with operation teams, forwarders and vendors and see orders to completion.

- Perform order processing operations in compliance to rating principles as well as operator variations

3. Business Continuous Improvement

- Perform continuous improvement activities

- Propose practical performance improvement solutions

4. Business Administration

- Communicate requirements and activities to stakeholders

- Work with allocated resources to ensure service delivery

- Identify and escalate risk factors that impact efficiency

5. Technology Application Activities

- Operate systems, technology and electronic tools deployed (e.g. WMS, SAP & etc.)
