Job Scope:

Guest Arrival

· Provide superior customer service to meet on-site client’s expectations

· Provide a consistent Guest welcome and registration process for individuals and groups

· Adhere to required levels of security standards for registration and access control

· Provide arrival and transportation options and information

· Adhere to time standards and ensure the mechanism of contacting the host is accurate and up to date

Client floor & Meeting Room Management

· Take ownership of the Client floor and meeting rooms, re-setting, keeping the rooms and spaces clear and in functioning order

· Work seamlessly with other team members such as the catering, cleaning and IT support team, potentially inspecting works done prior to releasing the rooms back for use

· Keep up to date with health & safety standards, and be the recognized point of contact in an emergency or evacuation

Switchboard / Telephony

· Provide consistent switchboard and telephony call and answering skills

Concierge & Value Add

· Provide concierge services and information, ranging from cloak & luggage storage, business services such as printing & copying, lost and found and VIP escort

Site Operations Management

· Seek ways to constantly reduce costs and improve operational standards.

· Maintain premises in neat and good working condition at all times.

· Maintain duplicate desk/meeting room keys in good order

· Achieve Key Performance Indicators and Service Level Agreement targets

· Handle incoming and outgoing calls, filter for “scam” callers, and route to appropriate employee

· Take messages if employee is unavailable and share message with employee

· Receive visitors and inform that visitor has arrived

· Guide visitors on Security Sign-in procedures and issue appropriate Security Passes to visitors

· Ensure visitors are offered refreshments while waiting.

· Manage and maintenance the upkeep of the front office/ reception area so that it is presentable at all times

· Maintain external conference room booking schedules to maximise efficient use of space

· Answer and Soft Transfer to Calls

· Manage conference room supplies and provide tea/coffee to participants in meetings

Mailroom Services

· Assist in recording all mailroom services, including sorting/arrangement and delivery to user.

· Coordinate and facilitate the delivery person to assign the location and handling parcel.

· Receiving and assist arrange to Singpost for normal mail/parcel delivery.

Job Requirement:

· ‘A’ Level or Diploma

· Good command of written and spoken

· Team player

· Good administrative skills

· Proficient in Microsoft Office applications

Additional Information:

· Contract duration: Immediate for 3 to 12-month

Job Scope:

• Perform general accounting functions (eg. Revenue accounting, payable processing, billings and preparation of monthly management reports, etc
• Facilitate the annual financial audit field work
• Assist in generation of additional reports for annual Strategic Business Planning, Budgeting Exercise and Half-Year Review, annual tax queries
• Perform bank reconciliation
• Prepare monthly audit schedules, management reports and quarterly GST return

The Job

• Support the business and project team in managing and completion of project milestones.
• Keep business and project team up-to-date on project related issues, matters and resolutions in a timely manner.
• Work collectively with members of Investment Services team and project manager to engage key system SMEs, understanding system behaviors and help gathering and transforming information into future model and processes.
• Support consolidation of business requirements and engage in business analysis process to ensure all business requirements are captured and addressed.
• Review function specifications document against business requirement document to ensure coverage was properly done.
• Prepare UAT test cases based on operations scenarios in production for business delivery lead and owner review and sign off.
• Sound knowledge and manage UAT life cycle through engaging in UAT execution, working collectively with Investment Services users and project team in defects reporting and resolution, to complete the UAT with quality and standard.
• Build effective relationship with project stakeholders as well as Investment Services users.
• Engage in application demonstration and training for Investment Services operational users.
• Being hands on in Standard Operating Procedure revision for operating processes that involve the system in UAT.
• Work collectively with business delivery lead in supporting the execution of key change management outcome including but not limited to governance and controls, integration of processes across ILP products and user training.
• Engage closely in Day one post implementation and Day two lifecycle management.
• Gain full understanding of current state of the Investment Services system, data and processes in the daily and monthly lifecycle of ILP products through involvement in daily BAU processes.
• Minutes taking and documentation on all project related meetings.

The Talent

• 6 to 8 years’ experience in Investment Operations/services within the insurance industry with key focus on project management and UAT management.
• Proven experience in system replacement/enhancement projects.
• Prior knowledge in End User Computing setup and management.
• Ability to navigate data and process flows.
• Strong stakeholders’ management skills.
• Strong risk and control mindset.
• Strong data management skillset and knowledge.
• Well versed in tools such as but not limited to Microsoft Visio, Jira etc.
