• Process customer orders, including price quotations, stock checks, issuing Proforma invoices, and confirming shipment schedules
• Serve as the primary point of contact for customers regarding product pricing and stock availability
• Coordinate with Logistics and Accounting departments to ensure seamless order shipments
• Prepare necessary documents such as Purchase Orders, Pick Lists, Invoices, and inventory checklists
• Generate daily, weekly, and monthly sales reports
• Stay updated on product information, pricing changes, and distribute sales materials to distributors as needed

Job Info:

• Salary: Basic from $2500 - $3500 + Performance Bonus
• Working Hour: Monday - Friday (8:30am - 6:30pm)
• Location: Penjuru Lane (Transport provided at designated pick up point)

Job Scope:

• Responsible for full spectrum of the supply chain including purchasing process (sourcing, quotation enquiry, price negotiation, placement of orders and delivery arrangement), logistics coordination and management and inventory monitoring
• Issue purchase orders (PO) in the Inventory System to suppliers
• Support transactional activities within the Inventory System
• Analyse inventory and implement solutions
• Logistics coordination for timely arrival of components and expediting orders with planning
• Ensure proper documentation and filing as per ISO guidelines
• Develop and maintain relationships with suppliers, negotiate prices and terms of contracts, and monitor supplier performance
• Sourcing suppliers and purchase electrical equipment, spare parts, and other electronic components
• Manage inventory levels
• Any ad-hoc duties assigned by the supervisor

Job Description & Requirements·

• Assist the Head of Accounts and Financial Controller in all daily tasks and matters within the Accounts Department.
• Manage full set of accounts, including monthly reconciliation with Operations Administrations Executives on claims, receivables and final accounts with customers.
• Coordinate with Purchasing Department and Operations Department to verify vendor invoices and ensure timely payment to vendors as well as responding to vendor requests, clarifications and resolving any issues with vendors as soon as possible.
• Perform asset, inventory and financial reconciliation with Operations Department and generate monthly financial and analytical reports for Management.
• Use accounting softwares as well as Enterprise Resource Planning system to complete daily tasks and assist in the implementation and improvements of the systems.
• Ensure procedures, products and services rendered comply to Company policies, government regulations and ISO standards.
• Maintain historical records for annual accounting and ISO audit.
• Undertake additional tasks and responsibilities when required or as instructed.

Pre-Requisites:

• Diploma or equivalent qualifications and proficient in Microsoft Office tools.
• Team player with strong work ethics, initiative, strong communication and organization skills and ability to multi-task under tight deadlines.
• Relevant experience with accounting software and/or ERP system and in construction industry will be an advantage.
