ROLE OVERVIEW

The Group Operations Director at Mandala Club is responsible for managing and overseeing the daily operations, business initiatives and projects which entails close collaboration with both internal and external stakeholders, in consultation with direct supervisor. You will be the one to ensure that our business is well-coordinated and productive by managing its procedures and coaching its people. The goal is to safeguard and augment the efficiency of the company’s operations to facilitate accelerating development and long-term success.

KEY OBJECTIVES & DELIVERABLES

Strategic

● Act as the strategic support to the COO, in executing the day-to-day business operations, implementation of initiatives, brainstorming and achieving business goals.

● Lead on strategic planning & business development for Apex Retail which aims at driving incremental revenue, expense management and operational efficiencies.

● Explore and develop new business opportunities along with the COO, through conducting active market research and brainstorming with various stakeholders.

● Liaise with internal stakeholders to establish close synergy and collaboration which leads to more efficient operations and revenue opportunities.

Business Development and Financial

● Support the COO on brainstorming, planning, presentation and execution of business operations initiatives and projects, which entails project management and coordination with various stakeholders.

● Work with COO and Department heads to set strategic business goals and workplan for each department to dovetail with the company’s overarching goals.

● Works with the COO to formulate short- and longer-term business plans and performance targets/indicators for the respective department, to achieve optimal operational efficiency, cost savings and guest satisfaction.

● Perform financial analysis and business reporting to facilitate business decisions.

● People and Cross Departmental Functions

● Work closely with the Sales and Marketing Departments in planning, developing, implementing, and evaluating advertising, marketing strategies, and trade promotion programs to achieve revenue growth.

● Provide leadership guidance, development and coaching to team members and encourage individual development especially amongst Direct Reports.

Job Description

• Handling invoices, payments, and receipts for suppliers, vendors, and clients.
• Generating financial reports such as profit and loss statements, balance sheets, and cash flow statements.
• Ensuring accurate and timely processing of payroll for F&B staff, including calculating wages, deductions, and taxes.
• Assist in financial record-keeping tasks such as processing invoices, tracking expenses, and preparing financial reports as needed.
• Liaising with other departments, suppliers, and clients to resolve financial queries and discrepancies.
• Provide administrative assistance to the F&B department, including handling correspondence, phone calls, emails, and other communication.
• Maintain accurate records, databases, and filing systems for F&B-related documents such as invoices, purchase orders, contracts, and inventory reports.
• Provide administrative support for F&B events, including coordinating logistics, and assisting with event setup and teardown.
• Assist in ensuring compliance with health, safety, and sanitation standards in F&B operations, including maintaining cleanliness and hygiene standards.

Job Requirement

• Strong organizational, time management, and administrative skills, with attention to detail and accuracy.
• Excellent verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.
• Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and experience with Xero accounting
• Basic understanding of F&B operations and terminology within the hospitality industry.
• Ability to work effectively as part of a team and collaborate with colleagues across departments.
• Flexibility to adapt to changing priorities and work in a fast-paced environment.
• Ability to identify issues, troubleshoot problems, and propose effective solutions.
• A degree or diploma in hospitality management, business administration, or a related field is preferred but not always required, depending on experience.

Job Description

• Oversees and assists the day-to-day operation, organizes the kitchen department, and ensures smooth daily operations with standards/SOPs are met consistently.
• Maintain complete knowledge of menus, item preparation method/time, quality standards, taste, texture, serving temperature, portion size, and presentation method.
• Menu creation - create and update a diverse and appealing menu that aligns with the lounge’s theme and atmosphere.
• Introduce new and exciting dishes, keeping up with culinary trends and customer preferences.
• Supervise and lead a team of kitchen staff, including chefs, cooks, and kitchen assistants.
• Ensure efficient workflow and coordination in the kitchen to meet service requirements.
• Manage inventory, control costs, and minimize waste to achieve financial targets.
• Maintain high standards of food quality, presentation, and consistency.
• Conduct regular tastings and inspections to ensure adherence to recipes and standards.
• Enforce strict adherence to food safety and hygiene standards in compliance with local regulations.

• Work closely with management to implement promotional events and special menus.

• Negotiate pricing and terms with suppliers to optimize cost-effectiveness.
• Contribute creative ideas for food and beverage pairings, themed events, and special promotions.
• Stay informed about culinary trends and incorporate innovative concepts into the menu.
• Mentor and train kitchen staff to enhance their skills and foster a positive working environment.
• Conduct performance evaluations and provide constructive feedback for continuous improvement.
• Kitchen planning of the workflow to ensure operations efficiency

Job Requirement

• Proven experience as a Head Chef or Executive Chef in a high-volume, fast-paced environment.
• At least 5 to 7 years relevant experience
• Culinary degree or relevant certification.
• Excellent leadership and communication skills.
• Familiarity with local food safety regulations.
• Creative and innovative mindset
• Good understanding of useful computer programs (MS Office, restaurant management software, POS)

Responsibilities

[Marketing]

• Provide administrative and coordination support to the marketing team
• Manage and maintain the marketing database
• Assist in the adaptation of simple artwork, including packaging, web banners, and EDMs
• Contribute to the planning and execution of marketing campaigns
• Be available to assist with marketing-related events outside of work hours when necessary (rare occurrence)
• Stay up-to-date with innovations and updates on social media platforms, and research popular content ideas

[Graphics Design]

• Creation of graphic illustrations for print media, organisation's website and new social media posts
• Assist with the start-to-end ideation, design and adaptation of creative assets and content for existing/new campaigns, social media/web projects
• Help to audit, align or create design assets and any outstanding banner or illustration and other format requirements to the new visual identity post brand refresh efforts
• Keeping abreast of current trends in content creation for graphic designs and animation for social media
• Brainstorm and conceptualise creative ideas with the team

Requirements:

• Proficient with Adobe Software – After Effects, Illustrator, Premiere Pro, Photoshop
• Creative, proactive and a strong team player

Job Description

• Assist the Head Bartender in overseeing the bar staff, ensuring they adhere to service standards and policies.
• Provide guidance and support to bartenders, barbacks, and other team members.
• Assume a leadership role in the absence of the Head Bartender.
• Interact with customers, take orders, and deliver a high level of customer service.
• Ensure that all service procedures are carried out to the standards required
