Job Title: Office Manager and Project Finance Administrator

Job Overview: We are seeking a versatile and proactive individual to fill the role of Office Manager with a focus on Project Finance Administration for our Singapore office. This position involves overseeing day-to-day office operations, providing administrative support, and managing IT-related functions. The ideal candidate will have a strong blend of organizational and technical skills to ensure the seamless functioning of our office environment.

Responsibilities:

1. Administrative and Office Support:
   • Manage office schedules, appointments, and meetings, ensuring efficient coordination.
   • Handle incoming calls, emails, and correspondence, responding in a timely and professional manner.
   • Maintain office supplies, equipment, and inventory.
   • Travel arrangement for travel accommodations and itineraries for employees
   • Coordinate and organize company events, meetings, and client events etc.
   • Support managers and employees with day-to-day needs and requests related to HR and IT services.
2. IT Management:
   • Work with internal IT support team to oversee office IT infrastructure, including hardware, software, and network systems.
   • Collaborate with internal IT support team/external IT vendors to ensure the smooth operation of IT services.
   • Troubleshoot and resolve basic IT issues or escalate to the appropriate support team.
3. Facility Management:
   • Organization of office space.
   • Coordinate with office space provider/landlord for maintenance, repairs, and other facility-related services.
   • Ensure a safe and comfortable working environment for all employees.
4. Human Resources Support:
   • Assist in the onboarding process for new employees, providing IT setup and access.
   • Manage employee records, including IT-related permissions, access controls, and security protocols.
   • Collaborate with HR on employee engagement initiatives and team-building activities.
5. Financial Management:
   • Assist Project Managers to process invoices, receipts, and other financial documentation related to project finance management.
   • Collaborate with finance department to ensure accurate and timely financial reporting.
6. Authority Digital Submission:
   • Assist Engineers to carry out digital submissions to various Authorities (e.g. CORENET, LTA-PROMPT, PUB etc)

Qualifications:

• Proven experience as an office manager or in a similar administrative role in engineering consultancy office.
• Relevant finance administrative experience
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal abilities.
• Proficient in Microsoft Office Suite and other relevant software.
• Basic knowledge of IT systems and troubleshooting.
• Ability to handle confidential information with discretion.
• Diploma in business administration or a related field is preferred.

You will play a vital role in our finance team by contributing to various financial processes and gaining valuable experience in a dynamic work environment.

Expectations of a Finance Intern

• Assist with monthly, quarterly, annual financial close and related management reports with high accuracy and timely completion
• Supports in monthly reporting, forecasting, and budgeting cycles, including analysing variances

About FRAP
As part of EDB’s continuous efforts to develop the suite of industries in Singapore, the Finance, Risk & Assurance and Procurement (FRAP) division is an imperative business partner to our officers in the industry and policy groups.

As a FRAP business partner, you will be responsible for providing advisory on the procure to pay value chain. Job Requirement

The Tax team handles Income’s corporate tax and GST matters and ensures that Income meets all its tax obligations as a corporate citizen.

You will be covering the preparer role within the tax team to support key tax reporting work responsibilities during the contract period:

• Extraction and review of general ledger listing for purpose of preparation of the first full corporate tax returns of Income
• Responsible for the timely and accurate preparation of tax computation
• Perform relevant reconciliations, controls and procedures to ensure accuracy and timely completion of tax reporting and operational tasks
• Investigate exceptions and engage with relevant internal and external parties to follow up on queries and address issues
• Ensure adherence to controls, compliance with relevant policies and procedures
• Research and implementation of tax reporting requirements
• Assistance with review of quarterly GST returns

Requirements:

• University Degree in the Accounting or Business

Your Function:

As Head of Finance, you will be responsible for leading and managing the finance function in DLL Singapore and Hong Kong. This includes financial control, business control, internal and external reporting, accounting, funding, and tax. You will also proactively advise the business leaders and ensure that we are financially in control. You will manage a small finance team and be part of the local management team. You will report to the Country Manager of DLL Singapore and Hong Kong.

Your day-to-day responsibilities will be:

· Plan, organize, co-ordinate and support the business in financial budgeting and forecasting processes.

· Proactively contribute to the development of a business strategy and business initiatives for the country as strategic business partner in the local team. Translate business objectives to short term and long-term plans for own department.

· Provide internal reports to country management and DLL Group finance concerning business performance and results.

· Analyse trends and root causes of changes.

· Report financial results to external stakeholders (customers, partners, auditors, regulators, tax authorities etc.) and provide analysis and detailed information if required.

· Support business leaders at country level with financial advice in order to improve business results on the short or longer term. This includes how to improve margins, lower risks and decrease operating costs.

· Ensure reliable and timely financial transaction processes where turnaround times for funding is a unique selling point for our partners, compliant with statutory requirements.

· Safeguard a sound financial and operational internal control environment.

· Organize and ensure compliance with corporate and external policies, laws and regulations,

including local tax and accounting laws and DLL’s finance, control, tax and treasurypolicies.

· Plan, structure, organise, manage and control the assigned department, processes, staff and business partners, in line with corporate policies and company values.

· Perform Segregation of Duties controls and activities where given small size of the team you would be responsible for performance of such activities.

Your Profile:

· Minimum 10 years of leasing or financing experience

· Strong accounting and financial background with budget and cash flow management experience

· Understanding of corporate governance

· Excellent verbal and written communication skills

· Problem solving skills and able to work independently

· People management experience

· CA/CPA and other tertiary qualifications desirable
