Job Description & Requirements

The Finance & Admin Executive is responsible in handling all day-to-day financial matters of Special Olympics Singapore, ensuring that proper accounting, reporting and governance is observed under standard Financial Reporting Standards. He/she is also required to provide administrative support to the Secretariat and the Board members, where necessary.

Key Responsibilities:

Accounts

1. Assist the Executive Director (ED) in preparing monthly income & expenditure reports

Administration

1. Provide assistance to the ED and other team members on office administrative matters.

2. Attend meetings, record and prepare minutes when assigned as the Secretariat to special projects e.g. Board meetings, Annual General Meeting, Extra-Ordinary Meeting, Committee Meetings, etc.

3. Maintain a proper filing system for correspondence and other documents

4. Assist with product & service procurement process (e.g. invite to quote/tender, and summarise, quotations)

5. Undertake routine correspondence and compile/ prepare draft reports

6. Maintain records of employees’ annual leave and medical leave

7. Oversee the inventory & maintenance of office equipment

8. Attend and assist SO Singapore activities/ events and other public awareness projects or invitations events, even outside office hours or on public holidays

[What the role is]

The Finance Services Department (FSD) under the Finance Division supports the operational departments in areas of transactional accounting including but not restricted to payments, revenue, fixed assets and costing of fees and charges, etc. It maintains proper and correct accounting records ensuring the integrity of NEA’s financial records.

[What you will be working on]

As an Executive/Senior Executive in the Finance Services Department of the Finance Division, you will be responsible for the following:

• Handle day-to-day operational matters pertaining to pertaining to daily revenue collection and liaise with Ops Divisions/departments/vendors

• Process refund requests promptly

• Perform prompt invoicing and collection of receivables within stipulated credit terms

• Perform month-end closing, bank reconciliations and etc

• Ensure payments are made accurately and on time to vendors

• Run monthly report from relevant portal(s) for Divisions/Departments' verification

• Assist supervisor to prepare year-end audit schedules and documents requested by auditors

• Attend to requests or enquiries from external and internal customers

• Other ad hoc duties assigned by supervisors, e.g. system changes, process improvement, etc.

[What we are looking for]

Job Requirements:

• Diploma in Accountancy or related discipline

• Experience in Accounts Receivable and/or Accounts Payable role would be an advantage

• Comfortable to learning and applying technology in daily work (e.g. finance and operational systems)

• Proficient in Microsoft Excel

• Meticulous with an eye for detail

• Able to work independently and effectively as a team

Responsibilities

• Work closely with the Asst. Manager and Manager for the smooth operations of floor assigned
• Supervise opening and closing operations ensure standard protocols are followed
• Respond promptly to customer complaints/concerns and suggest solutions to resolve complaints
• Interact positively with customers, ensure customer satisfaction, solicit feedback from customers concerning food and service in the outlet
• Supervise and maintain cleanliness of the outlet

Qualifications & Requirements

• Bachelor's Degree in Hospitality / Retail Management or any related field
• Proven supervisory work experience in a hotel or restaurant set up (minimum of 1 years of experience)
