Job Duties:

• Serve as the key contract owner for the assigned markets in managing and facilitating client contract administration process which includes reviewing and processing contract requests, contract drafting, stakeholders’ approvals, contract issuance, and execution within agreed Service-Level Objectives
• Liaising with stakeholders and departments to ensure conracts are developed and approved consistently
• Handle post-contract administration activities
• Keeping accurate and timely records and documents associated with all contracts for management reporting, capacity planning, as well as for audit purpose.
• Continously assist with process improvements
• Ad hoc duties as assigned

Job Requirements:

• Minimum Degree and above
• At least 5 years of business service management experience in contract management or business operations
• Experience with Contract Lifecycle Management (CLM) tool, Customer Relationship Management (CRM) tool, eSignature tool, and computer applications including Microsoft Office (Word, Excel, PowerPoint, Outlook) is required.

Job Scope

Under the general guidance of the Director of Finance, you oversee and direct all aspects of the finance function, including the accounting operation, financial reporting, managing relationships with lenders and compliance with tax and other governmental authorities.

Reports directly to the Director of Finance on all day-to-day operational matters affecting the hotel, and directly to the Director of Finance on all finance matters.

Essential Responsibilities

• Supervises the accounting department of the Hotel
• Directs the accounting departments of the hotels to ensure strong accounting procedures and controls are in place, and financial reporting is timely, reliable and accurate.
• Responsible for all staffing matters for the finance function including recruitment, training and counseling of employees.
• Oversees hotel accounting systems and ensures full use is made of system capabilities.
• Responsible to produce the most effective and efficient accounting organization and processes to support the hotel’s operations.
• Provides financial support to the Director of Finance/GM and the hotel Executive Committee, including periodic reporting, financial analysis, forecasts etc. 
• Provides financial input on all significant business decisions.
• Monitors departmental costs across hotel and provides leadership in controlling and reducing costs.
• Monitors financial performance and provides the management team and with early warnings of variances from budget or forecast.  Responds proactively to business developments, and assists the management team to take appropriate action to address changing circumstances.
• Liaises with finance department in and ensure all reporting requirements and requests for information are satisfied in a timely manner.
• Oversees the consolidation of the financial information for reporting to the banks and joint venture partners.
• Oversees the accumulation of the financial information for reporting to tax accountants and tax authorities. 
• Oversees F&B accounting and reporting and monitors relations/responds.
• Responsible for liaising with banks, and monitoring compliance with all loan agreements and covenants.
• Oversees the generation of operating and cash flow forecasts for Corporate office and for the banks, as per directed by the Director of Finance.

The Group Financial Reporting Assistant sits within HARPS Investment Asia Pte Ltd, reporting to the Senior Manager for Financial Reporting.

Based in Singapore, the roles and responsibilites of this position includes but are not limited to the following:

Internal reporting:

1. Assist in Group Consolidation of entities across the region for preparing actual Group monthly results. Familiarity with group consolidation processes is required, including posting consolidation adjustments entries.
2. Perform reconciliation of intercompany balances and transactions at Group level.
3. Monthly analysis and variance explanations for reporting of Group financial results.
4. Ability to prepare Board Papers for quarterly and ad-hoc Board Meetings.
5. Liaise with subsidiary companies, internal teams, and external parties to ensure timely and quality preparation of Group management and Board reports.
6. Liaise with lenders to provide quarterly/half-yearly certificates for bank covenants purpose.

Financial Reporting & Analysis (Including budgeting & forecasting):

1. Prepare analytical reports and insights to assess the impact of changes on business operations.
2. Engage with various stakeholders to understand their requirements and offer suitable recommendations.
3. Coordinate and prepare the Group's annual budget and monthly forecasting.
4. Coordinate and prepare the Group’s monthly cash flow liquidity planning.

External audit:

1. Assist the manager in planning, coordinating, and monitoring the annual external financial audit process for the Group and to ensure timely issue resolution and audit completion.
2. Draft statutory financial statements for the Group and its subsidiaries, including reviewing subsidiary companies’ statutory accounts to meet regulatory requirements.

Project(s):

1. Participate in support on Group Financial Reporting system, including implementation and providing feedback for process improvement.
2. Any other ad hoc duties as may be assigned

Pre-requisities

• Bachelor’s degree or higher in Accounting and Finance. Candidates should have experience in demonstrating strong financial reporting knowledge (i.e. IFRS) and proficiency in reading financial statements.
• Proven experience in financial and variance analysis, or related fields.
• Excellent English verbal and written communication skills.
• Proficient in Microsoft Office Suite, especially Excel and PowerPoint.
• Ability to work independently, multitask effectively, and collaborate within a team.
• 3-5 years of relevant work experience.
• Strong attention to detail, organized and methodical in work approach is essential. Ability to deliver high-quality work under pressure and on time.
