Admin cum Accounts officer supports the Foodbank manager by providing corporate support and accounting services. He/she has to maintain the warehouse accounts, check on the bills and support the Foodbank Manager.

Duties & Responsibilities

• Corporate support in the areas of attend to telephone calls, typing, faxing, filing, photocopying, etc.
• Collation of statistics, beneficiaries’ database, inventory and stock information.
• Manage to help Food Bank Manager supplies stocks.
• Answer queries of staff, beneficiaries, vendors and volunteers.
• Manage office supplies stock and place order (e.g. stationery, envelopes, printer cartridges)
• Maintain and update Donors, Vendors and Volunteers database.
• Prepare reports and presentations with statistic data.
• Maintain Food Bank calendar and schedule of events.
• Maintain proper accounting records such as Invoices, PR, DO and Petty Cash reimbursement.

• Mon - Fri, 830am to 6pm, One Sat per month, 830am to 6pm

Requirements

• Minimum Diploma in any discipline or related field.
• Knowledge of basic IT (MS Word, Excel, Access and Power Point) and basic statistical analysis.
• Maintain audit schedules and coordinates year-end audit and submit report to Finance Department.
• Meticulous, detailed in work and able to handle deadlines and stress.
• Be prepared to perform other duties as assigned.

Responsibilities

• General Ledger Management: Maintain and update the general ledger with accurate and timely entries.
• Accounts Payable and Receivable: Process and manage accounts payable and receivable, ensuring timely payments and collections. Reconcile vendor statements and resolve any discrepancies promptly.
• Financial Reporting: Assist in the preparation of monthly, quarterly, and annual financial statements.
• Fixed Asset Management: Maintain and update the fixed asset register, ensuring accurate recording of acquisitions, disposals, and depreciation. Conduct regular physical audits of fixed assets to ensure accuracy and compliance with company policies.
• Fixed Asset Management: Ensure compliance with relevant accounting standards and company policies for fixed asset management.
• Bank Reconciliations: Perform monthly bank reconciliations and investigate and resolve any discrepancies.
• Tax and Compliance: Support the preparation and submission of tax returns and statutory filings.
• Audit Support: Assist in internal and external audits by providing necessary documentation and explanations.
• Cash Flow Management: Monitor and manage cash flow to ensure the company can meet its financial obligations. Prepare cash flow forecasts to support financial planning.
• Follow-Up and Communication: Liaise with internal departments and external stakeholders to resolve financial discrepancies and follow up on outstanding items.

Requirements

• Minimum Diploma in Accountancy or equivalent.
• Min 2 years of related working experience for junior role and 5 years for the senior position, preferably in the airfreight and logistics industry.

This role has to promptly & professionally attend to the customers when they walk into our service centres. Job Scope

• Walkabout in service centres and observe cues from customers

• Do a follow-up call on no-show booking customers to fix another appointment booking date.

• Assist to answer all telephone calls within 3 rings in a courteous and pleasant tone and voice with appropriate greeting, salutation where appropriate, announcement of company name and personal name.

• Transfer the calls in a professional manner where the other party is being informed of the transfer and the extension that they are being transferred to.

• Record messages accurately from customers and follow-up with SAs to ensure that messages/ calls are replied.

• Assist in the daily operation of the reception.

• Assist with collation of intake reports.

• Assist Customer Service Executive in handling 1st level of complaint cases

• Assist with cashiering and document submission to finance and respective managers

• Handle non-booking walk in customers tactfully to uphold customer service level standards at all times.

Knowledge & Skills

• Preferably Diploma Holders who specialized in Customer Service

• Minimum 3 years working experience in relevant customer service industry.

As a HR & Payroll Officer, you will be in charge of all payroll matters for a headcount of approximately 800 in the Oil and Gas Industry. This includes the creation of new employee and employee data base management.

• Prompt & accurate monthly payroll and overtime processing
