The Hwei-Ee Tan lab studies the fundamental biological basis of “gut-feelings”, how bacteria in the gut signals to the host to influence physiology and behaviour. Using mice as a mammalian model, the lab investigates how diet and microbiome factors modulates host phenotypes (e.g. food reward, anxiety behaviours, etc). Besides supporting curiosity-driven basic research on the gut-brain axis, his lab is also studying the brain-gut axis, to uncover host-microbe interactions. Acting as a key member to serve as the liaison between HODs and executives to Assistant General Manager and Managing Director, the Executive Assistant is responsible for assisting MD with communication, coordination, scheduling, organization and administrative tasks day-to-day functions and operations.

Calendar and email management

· Manage the MD’s calendar, scheduling appointments, meetings, and travel arrangements.

· Monitor and prioritise emails, drafting responses or redirecting as necessary.

· Screen and direct phone calls and distribute correspondence

· Advised of time-sensitive and priority issues, ensuring appropriate follow-up with action on matters which fall within the MD and AGM’s responsibility.

· Manage office Communication

· Manage a variety of information, use appropriate office communication tools to prepare and maintain the information accurately either on paper or electronic files.

· Handle sensitive and confidential information with the utmost discretion and professionalism.

Meeting coordination

· Prepare agendas, materials, and presentations for meetings, ensuring that all relevant documents are distributed in a timely manner.

· Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries. Follow up on action items.

· Maintain confidentiality regarding business strategies, financial information, and personnel matters.

Communication liaison

· Serve as the primary point of contact for internal and external stakeholders, screening calls and inquiries, and providing information or redirecting as appropriate.

· Coordinate communication between the Assistant General Manager and MD with other departments, ensuring timely dissemination of information.

Document management

· Organise and maintain electronic and physical filing systems, ensuring that documents are easily accessible and up-to-date.

· Prepare and proofread correspondence, reports, and presentations as needed.

Project support

· Assist the MD and Assistant General Manager in tracking and monitoring project timelines, milestones, and deliverables.

· Coordinate with cross-functional teams to gather information, compile data, and facilitate project progress.

Educational & Professional Qualifications

· Diploma in Business Administration, Office Management, or related field.

Relevant Experience

· Proven experience as an Executive Assistant or similar role, supporting senior executives or managers.

· Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.

· Familiarity with online collaboration tools, project management software, and cloud storage platforms.

Job Description:
• Deliver and unload products at customers' locations.
• Ensure accurate documentation during delivery and collection.
• Pack the goods follow the invoice, prove that goods and quantities are correct.
• Warehouse duties such as unloading, sorting, packing, and loading goods.
• Checking and inspecting goods received and ensuring they are of accurate quantity, type, and also acceptable quality.
• Perform any other assigned ad-hoc duties by the supervisor.

The Centre for Research and Development in Learning at Nanyang Technological University, Singapore (CRADLE@NTU) seeks applicants with a Bachelors (Honours) degree in Psychology, Cognitive Neuroscience or related field from a university of good standing for a Research Assistant Position.

Key Responsibilities:

• Liaise and work closely with stakeholders from external institutions (including schools) and project collaborators.
• Conduct literature reviews and prepare research progress reports.
• Day to day coordination of funded projects.
• Preparation of ethics documents to Institutional Review Board.
• Participant recruitment.
• Data collection using psychological and neuroimaging techniques, such as cognitive testing, fNIRS and MRI.
• Perform research-related administrative work, such as purchase of material/equipment for research.
• Manage day to day operations and meticulous record keeping of the research project.
• Systems administration, including maintenance of network servers and data security.
• Carry any other duties as required by Principal Investigator.

Job Requirements:

• Bachelors (Honours) degree in Psychology, Cognitive Neuroscience or related field from a university of good standing.
• Experience with cognitive/neuropsychological assessment with children and neuroimaging techniques such as fNIRS and/or fMRI is preferred.
• Possess excellent oral and written communication skills with a good command of the English language to perform literature reviews, prepare research progress reports and create visual infographics for presentations.
• Able to work independently.
• Good project coordination and administration skills, including data management and storage.
• Willing to travel to school sites for data collection.
• Willing to work on weekends (with off-in-lieu) when needed
• Excellent organizational skills and able to work within given deadlines.
