Summary:
The main purpose of this position is to support the crewing department in managing the administrative tasks concerning the company's shore staff. It directly reports to the Crewing Manager.
Responsibilities:
• Keep and update crew members' personal records.
• Maintain crew training records and arrange training sessions for the crew as required.
• Assist the crewing department in handling administrative matters related to the company's sea staff.
• Check and process crewing-related documents and invoices.
• Coordinate crew changes and handle logistics efficiently.
• Provide reports and support to the Crewing Manager regarding the fleet of vessels.
• Organize interviews, medical check-ups, travel, and accommodation for seafarers.
• Arrange and validate seafarers' licenses, permits, certificates, and other necessary documentation.
• Prepare and brief seafarers on their employment contracts, company policies, and procedures.
• Collaborate with seafarer recruitment agencies when necessary.
• Assist the Crewing Manager in preparing and reviewing the monthly crew payroll.
• Ensure strict confidentiality is maintained.
• Carry out any other assigned tasks.
Requirements:
• Proficiency in Microsoft Office applications is mandatory.
• The ideal candidate should be meticulous, proactive, and maintain a positive attitude, with a willingness to learn.
• Ability to work effectively both independently and as part of a team.
• A positive outlook and great attention to detail are essential.
• Experience with Sage Easypay Software would be advantageous.
