Job Scope:

Prepare memo for admin related matters.

Arrange and coordinate company’s driver schedule

Make travel arrangements for company approved business travel

Handling of company official document for postage or courier

Source for suppliers and purchase stationeries

Assist in the organizing of Company events

Meet targets and those of the team as a whole smooth running of the of administrative function and of the team

Office Administration:

• Manage leave record for overseas staff
• Handle all office matters relating to telephone, faxes, mails
• Review the office equipment contract such as photocopier, franking machine and courier services
• Order of pantry and stationery items as well as to maintain the stock
• Handle the company’s corporate, staff gift and hampers
• Undertake any ad-hoc projects related to the office admin

Responsibilities

· Be current and knowledgeable in HR legislations, Employment Act and Employment of Foreign Manpower Act.

· To administer compliance, control and educate stakeholders on HR policies and legislations.

· Support in manpower planning.

· Administer, collate, tabulate data and manage target setting and performance appraisal alongside with functional heads.

· Support Employee Relations initiative to foster team cohesion, teamwork and productivity.

· Manage on-boarding program and off-boarding program.

· Demonstrated experience in Payroll.

· Engage in dormitory Planning to optimize dormitory occupancy for operational efficiency and cost effectiveness.

· Investigate and resolve disciplinary issues and grievances.

· Define and maintain current and accurate data for compliance and operation efficiency.

· Prepare essential documents and letters.

· Tabulate and generate relevant reports for management and relevant authorities for decision making.

· Process Annual Leave, Home Leave and etc.

· Support the implementation of change initiatives and projects to advance HR best practices from time to time.

Knowledge, Skills and Abilities Required

· Diploma/Degree

· Minimum of 3 years of relevant experience in human resource management

· Excellent interpersonal and people management skills

· Effective in both verbal and written communication

Requirements:

• Good spoken and written English required
• Good computer skills required - knowledge of Microsoft Excel
• N/O level graduates - min 2 years full-time working experience required

• To have and maintain good daily attendance and punctuality.
• To update team member at least 2 working days in advance before going for leave, in order to minimize downtime.
• Ensure office cleaniness and file labels
• Coordinate between site admin and corporate HRD for direct workers' home leave matters.
• Coordinate between site admin and corporate HRD for employees' training matters.
• Coordinate between site admin and corporate HRD for employees' resignation.
• Assist to coordinate with site for WP renewal.
• Coordinate with Finance for payment matters and staff reimbursement and claims.
• Assist to replenish stationery, pantry items, name cards, MCR/DO/REQ form, letter head, etc.
• Other duties in administration matters and ad hoc as per request by lead / PM.

Admin Assist (WestParks Jurong)

Duties and Responsibilities

• General Admin Duties
• Answering Call
• Handle and follow up on customers' enquiries, quotations and orders.
• Reply Email from outside Parties
• Perform filing and other administrative duties.
• Assist Supervisor in her daily operational process
• Handle other ad-hoc assignments.

Requirement:

• Able to Communicate with INDIA counterparts
• Minimum N Level
• Computer Literate

Remarks:

• Work Locaion: West Park (Jurong)
• 5 days Works Week
• Salary: S$1800 ~ S$2300

• Job function - 70% Admin 30% Customer Support
• Able to commence from Jan/Feb 2024
• Office located at Jurong East (3 mins walk from Jurong East MRT)

Administration - 70%

• Day to day administrative duties.
• Data entry, reporting and invoicing
• Manage calender and schedule of bookings
• Update spreadsheets and prepare monthly reports

Customer Support - 30%

• Answering phone calls and taking appointment bookings and etc
• Responding to Email and Whatsapp inquiries

Job Requirements

• Min GCE A' Level or Diploma in any discipline
• Fluent in English (Conversational and Written)
• Previous admin & coordination experience is an advantage.
• Detailed-oriented and resourceful.
• Possess good organizational skills and time management.
• Customer centric with good communication and interpersonal skills
• Competent in Microsoft Office, particularly in Word and Excel

• Handles day-to-day in broad spectrum HR and Administrative functions
