Core purpose of the role: This position will play a pivotal role in the operations team for all HR related matters. The individual will be responsible for all aspects of HR from recruitment, onboarding/ off boarding processes, claims, training and development, as well as staff engagement and welfare of the employees.

Job scopes:

Recruitment and On-boarding

• Determine and use the appropriate sourcing channel (including Jobs Bank, LinkedIn, job portals, recruitment agencies and internal applications)
• Coordinate the recruitment process, including but not limited to understanding job specifications, posting advertisements, pre-screening of candidate’s applications according to specifications, submitting qualified applications to the hiring managers and tracking application progress to position close
• Conduct interviews
• Arrange background check of new hires
• Manage end-to-end on-boarding activities including but not limited to accounts creation, IT related email and access, induction packs
• Arrange new hire induction

HR Operations

• Provide prompt update and accurate maintenance of employee database and personnel files
• Support in providing inputs to update HR reports, budget report, internal HR working templates, external statutory/labour market survey and headcount related reporting
• Monitor employees' work pass / MOM employment pass compliance
• Monitor probationary period, etc
• Review and update Employee Handbooks and Business Conduct Guidelines
• Maintain organisation charts and prepare monthly HR reports
• Support in the update of HR policies, processes and procedures

Performance Management

• Support the full suite of annual performance review cycle (communications to staff, creation of online forms and provide updates on completion rates and analytics)
• Work closely with business leaders to ensure the performance management exercises are properly executed and completed on time

Pay Review

• Support the annual pay review process
• Creation of excel spreadsheets for management input and analytics to update data on performance excel spreadsheets
• Participate in C&B surveys and benchmark with various key companies in similar industry

Employee Relations

• Support to business leaders in all employee relations matters
• Provide HR policies guidance and interpretation to employees
• Handle employee grievances, disciplinary issues and counsel staff

Offboarding

• Coordinate exit process: payroll, employee records, exit interviews

Payroll & Benefits Administration

• Manage and execute regular benefits administrations
• Ensure timely and accurate execution of CPF, government-claim submissions (Maternity, Paternity, Childcare and NS claims), income tax (IR8A and IR21) matters
• Maintain accuracy and update movements in company insurance policy

Employee Engagement

• Plan and execute internal employee engagement activities such as dialogues, and corporate staff engagement events.

Learning & Development

• Conduct training needs analysis for business units and employees.
• Source for external vendors, coordinate course registration and training grant applications
• Evaluate and monitor training programs and budgets

Ad Hoc Projects

• Drive and implement process improvements to increase HR efficiency and effectiveness.
• Participate in ad-hoc assignments and projects as assigned.

Qualifications & Experience:

• University Degree in Human Resources or related degree
• Strong knowledge of HR generalist functions and at least 3 years of relevant experience

Responsibilities:

• Assist in the assignment of housekeeping tasks and rooms to the housekeeping team
• Conduct maintenance checks on housekeeping equipment and machines
• Record and perform safekeeping of lost and found items
• Conduct inventory count on housekeeping supplies and equipment
• Coordinate and monitor follow-up on guest requests
• Handle guests' concerns and feedback
• Assist to monitor team's compliance with organisational and regulatory requirements on hygiene, and workplace safety and health
• Report safety hazards and security threats in accordance with organisational guidelines
• Consolidate budget reports for the department
• Maintain housekeeping records and generate reports for the department
• Coordinate meetings for the department

Requirements:

• Minimum "O" level with related experience in Facilities Management / Cleaning industry
• Possess basic knowledge of housekeeping services, waste management or pest control
• Good interpersonal, communication and leadership skills to handle common enquiries or complaints from team members or vendors
• Ability to use basic Microsoft Office applications – Word, Excel, PowerPoint to prepare reports

Responsibilities:

1. Meetings

• Arrange and prepare presentations for meetings
• Take minutes of meetings for F&B Sub-committee or any other meetings as required

2. Licences

• Track the expiry/renewal of licences relating to F&B such as Halal certification, liquor licences, catering licence, music licence etc
• Submit applications for the renewals on time

3. Purchases

• Assist with inventory management, stock controls and put up purchase requisitions.

4. Enquiries/Feedback

• Respond to general phone/email enquiries relating to F&B promptly and professionally
• Assist to track and reply feedback from members & guests

5. Documentation

• Maintain proper documentation of agreements/contracts with vendors
• Prepare reports and performance metrics and ensure proper filing
• Keep track of invoices and receipts for submission to Finance Department

6. Disciplinary of Members

• Assist the CEO/Ops Director with the administration of disciplinary of members; preparation for Disciplinary Sub-committee meetings, minutes of meetings and the follow-ups

7. Others

• Assist with special F&B promotions or events especially events involving VIP guests
• Co-ordination with other departments on training/departmental activities

Any other duties as may be assigned from time to time.

Requirements

• Degree in relevant discipline or equivalent
• Preferably with working experience in the F&B/hospitality industry or in a secretarial position
• Proficient in MS Office applications
• Strong organisational skills with the ability to multi-task
• Good verbal and written communication skills
• Strong interpersonal skills to collaborate with members, external partners, management, and colleagues

Responsibilities:

• Plan, schedule, update, and follow up on machinery servicing records to ensure optimal performance.
• Liaise with in-house mobile mechanics, the warehouse department, and site in charge regarding machine servicing schedules and parts availability.
• Any other ad-hoc duties as and when assigned

We are looking for a In-Door Sales Coordinator cum Admin Assistant. This role combines administrative support with coordination of the sales process to ensure smooth communication between departments and efficient customer service. Key Responsibilities:

1. Sales Coordination:Support the sales team in managing client accounts and sales leads.
