Job Scope
Programme Operation: Admission
- Monitor the overall progress of admission cycle.
- Preparation of applicant list for programme director screening and selection.
- Pre-screening of applications, certificates, transcripts (all re-requisite documentation)
- Plan, communicate, preparation and attend student online admission interview (if require by PD)
- Preparation and sending of conditional offer template and letter.
- Follow up with student acceptance rate and deposit received.
- Ensuring that the deposit received is into the correct G/L with NSS Finance
- Routing the confirm final applicant acceptance list in GCAS for OA documents check and issuing of school official e-offers.
- Following up with all the OA necessary checking and request (to student) to ensure student smooth matriculation.
- Upload all the outstanding documents (as required or request by OA) into GCAS for OA checking and verification.
- Ensure to and follow up with student to accept e-offer sent by OA.
- Reject all the unsuccessful application manually via GCAS and compiled a list for OA and IT update and further action.
Programme Operations: Academic Services
- Preparation of google form/MS Form to all matriculated student to select their specialisation and courses before the Trimester 1 commences. (Or any other necessary info requires)
- Setup, compile, and tabulation of teaching evaluation (SFT) each trimester
Programme Operations: Examination
- Prepare and print attendance for each trimester.
- Prepare form for invigilator report (for absentees) and chief invigilator (for collection of examination scripts)
- Invigilation and script checking
- Collection of all the scripts, invigilator reports.
Student and Alumni Affairs
- Planning and preparing of all logistics as required for all the confirmed events. (Internal and external)
- Creation of survey for all students for the event to measure the programme well-ness and student well-doing.
- Assist in executing student end-programme event, gifts and follow up with vendors.
- Support student and alumni engagement initiatives.
- Assist in executing events and networking opportunities.
Marketing and Outreach
- Coordinating and ensuring all logistics are in-placed prior to all events (domestically or internationally)
- Preparation of all event announcement as require in all communication channel and prospective contacts/leads as collated during outreach events.
- Tabulating all leads as collated from the event.
- Planning and preparation of PPT deck for outreach, info session and orientation (aligning to Uni and PD standard)
Research on Companies for Internship Placement:
- Conduct research to identify potential companies offering internship opportunities.
- Analyse and compile data on company profiles, internship programs, and application procedures.
- Create a database of internship opportunities and contact information.
Research on Prospects (Target audience) and Universities:
- Conduct research to identify potential field, trends, universities
- Prepare reports or profiles to inform decision-making.
Photography (Taking Photos):
- Capture high-quality photos during events, activities, or for promotional purposes.
- Ensure proper lighting, composition, and editing of photographs.
- Maintain an organised archive of photos for future use.
Extracurricular Activities (Example SPMS PGC Club):
- Facilitate and manage extracurricular activities, particularly the SPMS PGC Club.
- Plan and execute club events, workshops, or meetings.
- Promote participation and engagement among members.
Other Administrative duties
- Assist in any ad hoc matter as raised.
Work Arrangement:
Contract Duration: 6 months
Working Hours:
- Mon – Thurs: 8:30am to 5:45pm (45min lunch break)
- Fri: 8:30am to 5:15pm (45min lunch break)
- Location: Nanyang Link
- Salary: Monthly rated (TBA)
Work Requirements:
- A diploma in related field and above (Business, Marketing, Communication)
- Prior experiences in administration and training support operation
- Well-versed in Microsoft Office Application
- Proactive team player, able to multi-task and work independently with minimum supervision
- Meticulous and able to maintain professionalism under tight deadline
