Your role

Our major Oil and Gas Downstream Client is looking for General Support Services/Logistics Coordinator who will oversee and execute the logistics operations at site during Turnaround (TA) to ensure they are executed safely and effectively. You will coordinate inputs from the multi-disciplinary leads to ensure their logistics needs are planned and met. You will also develop and implement the Logistics Plan for an assigned turnaround.

You will work with the TA team to set up and manage temporary facilities for the assigned turnaround to meet TA timeline requirements as well as perform cost estimates for TA logistics costs. You will working with staff and contractors to ensure their transport arrangements (buses, pick-ups, lorries) are in place and operating efficiently during TA.

In addition, you will provide scope for the logistics contracts and work with the CP focal point to ensure contracts are set up and activated as per TA timescale. You will need to be familiar with TA contracting strategy and how TA logistics activities impact the overall TA cost and schedule. You will raise MOCs for temporary facilities such as electrical power, water pipelines, tentages and office cabins. Job Scope

• Handling key customer account
• Manage daily operational activities - accident claims
• Inspection of returned vehicles and make assessment of damages for close rental assessment
• Resolve vehicle, accident, breakdown issues with customers
• Manage operation and maintenance of motor vehicles
• Manage periodic servicing schedule, LTA inspection compliance, AVP and reporting
• Manage fleet management budget (negotiation of repair pricing with authorized workshop)
• Develop and implement vehicle and equipment preventative maintenance

Requirements

• O Level / Diploma holder
• Min. 1 - 3 years of experience in customer care (automotive/fleet/vehicles)
• Class 3 license

Roles and Responsibilities

Pre-handover Inspection

· Conduct pre-handover visual inspection of units.

· Liaise with main contractor on rectification of identified defects.

· Monitor rectification of identified defects by the main contractor and report to client when rectification is complete.

· Preparation of handover kits which includes (without limitation) packing the keys into the key pouch and accessories, etc to be handed over to owners.

Handing over of units to Purchasers/Authorised Representative

· Conduct the handover process with the Owners of units at the Property and get the Owners to acknowledge receipt of all the items handed over.

· Accompany the Owners to the respective unit(s) and brief them on the usage of essential items.

· Be the point of contact to provide customer service and assistance to Owners after handover.

· Maintain and update unit’s handover report.

Defects Management during Defects Liability Period

· To liaise and coordinate defects related matters between the Owners and Main Contractor.

· To arrange for a joint inspection with the Owners upon receipt of defects via Defects Management System.

· Monitor and track the defect rectifications based on the agreed time frame with the Owners.

· Inspect unit after rectification and follow up with the Owners to sign off the defect.

· Develop a logbook for control of keys / access cards / pin codes for access to units during defects rectification.

Our business includes a retail segment with 2 retail chains selling fast moving consumer goods and religious products, a property rental segment and a direct selling segment

Responsibilities:

Accounting, General Admin Functions

• Responsible for the full set accounts and day-to-day accounting
• Perform bookkeeping general ledger, AP, cash management, and bank reconciliation
• Ensure all accounting records are kept up-to-date and maintained promptly and accurately
• Handle all regulatory submissions including GST returns
• Process payments to suppliers
• Liaise with the external auditor and tax agents
• Report to the Directors and handle ad-hoc assignments

HR Functions

• Responsible for full spectrum of HR function
• Responsible in payroll process, claims expenses, and other related matters
• Manage recruitment cycle including sourcing, arrange for interview, and salary proposal
• Process Work pass application, renewable and cancellation
• Coordinate with insurance agents with regards to cancellation, renewal, new coverage of insurances

Requirements:

• ACCA/Diploma in Accounting or equivalent with 2 years of relevant work experience
• Possess knowledge in GST, Local Tax Regulations, and Singapore Financial Reporting Standards (FRS)
• Self -motivated. well organized, meticulous, and able to multi-task
• Ability to converse and liaise with external English and Chinese speaking vendors and suppliers

• Improve on current SOPs by identifying loopholes and recommend risk aversion measures, conducting random checks on outlet’s compliance to SOP, and preparing audit reports.
• Support the F&B businesses which includes co-ordination with internal and external stakeholders, formulating project workplan and budget.
• Administer the POS system and other related systems.

• Weeding；forking, trimming，pruning, fertilizing.
• Pest and disease-controlling.
• Tending to certain specific plants such as the butterfly plants and caterpillars, including cleaning the tanks where the caterpillars are housed.
• Tidying of planting areas, including sweeping, removal of the resultant debris, dead plants and fallen branches etc.
• Removal and destroying of wild creepers growing along fences, trees, walls, planter beds and the like.
• Any other relevant duties assigned by the School.

Qualification:

• Good knowledge of gardening.
• Passion in gardening.
• Preferably have prior experience in upkeeping gardens in a school setting
