An Executive Assistant is a professional responsible for managing the schedules and communications of key executives in their company. They prioritise emails and phone calls and arrange meetings and business events.
Responsibilities includes:
· Acting as the point of contact among executives, employees, clients, and other external partners
· Managing executives’ calendar and set up meetings
· Managing requests & queries from executives
· Managing information flow in a timely and accurate manner
· Make travel and accommodation arrangements
· Submit and reconcile expenses reports
· Act as an office manager by providing business support and keeping up with office supply inventory
· Format information for internal and external communication – memos, emails, presentations, reports, etc.
· Take minutes during meetings
· Screen and direct phone calls and distribute correspondence
· Organise and maintain the office filing system (both paper and electronic)
· Maintain & update standard operating procedures (‘SOPs’) and/or office policies
· Other administrative duties assigned
Requirement:
A good Executive Assistant needs to be resourceful, innovative, meticulous and proactive to support their executive leaders. We are looking for someone with at least 2 years of relevant experience.
They must think independently to make decisions under pressure, and they need to have good communication skills to share information with their supervisor efficiently and effectively.
Proficiency in Microsoft Office is essential. Minimum GCE 'O'/’A’ Level certificate or National ITE Certificate in Office Skills.
