Job Description: Office Admin Executive

Reports to: HR Business Partner (HRBP)

Department: HR

Durapower Technology (Singapore) Pte Ltd, a wholly owned subsidiary of Durapower Holdings Pte Ltd, is a leader in designing and delivering customized lithium-ion battery systems for various energy storage applications. Our solutions power a spectrum from hybrid and electric vehicles to specialty vehicles, microgrid, and smart grid technologies, fostering sustainable energy practices.

Key Responsibilities:

• Support day-to-day operations of HR & Office Admin efficiently.
• Manage employee onboarding and offboarding tasks such as issuing access card, welcome gifts, etc.
• Responsible for travel arrangements including flights, hotels, transportation logistics, visa applications, and staying updated on border and quarantine regulations.
• Manage, purchase, and maintain office and pantry supplies such as stationeries, courier, aircon, water dispenser, etc.
• Plan, organize and execute employee’s engagement activities, projects, initiatives when required.
• Perform various administrative duties like data entry and data collation.
• Undertake any other tasks assigned by supervisor relating to HR and Office Admin.

Essential Requirements:

• Effective communication skills to liaise with internal and external stakeholders.
• Attention to details.
• Productive time management and prioritization skills.
• Ability to work independently with minimal supervision and quick learning aptitude.
• Seeking candidates with 2 years of experience in relevant administrative roles. Fresh graduates with demonstrated skills are welcome to apply.

Good to Have:

• Experience in onboarding to issue assets such as access card, and other items.
• Prior experience in handling travel bookings is preferred but not mandatory.

Qualifications:

• Higher Nitec/Diploma in Business Administration

Responsibilities:

• To assist the operation manager on daily sales and order processing as well as to work closely with the operation manager on all project and/or budgetary enquiries
• Ensures that all urgent correspondence and enquiries to be carried out efficiently and report to operation manager if and when necessary
• You are also responsible to resolve minor issues of a non-technical nature and to report major issues to operation manager for a solution
• Compile an updated file for pricing from local and overseas vendors for submission to the operation on a monthly basis

Essential Functions:

• Responsible for day-to-day sales operation including preparing of sales enquiries up to execution of order
• Good filing system in hard and soft copies for all enquiries up to completion of order
• Preparation of enquiries from cost sheet to recommendation for purchase of project enquiries
• To identify new supply source to add to company’s supplier’s database
• Ad-hoc data entry
