Essential Duties and Responsibilities:

• Learns to conduct routine analyses in compliance with applicable methods, protocols, SOPs, and regulatory agency guidelines.

Job Summary
We are seeking a meticulous and proactive Corporate Secretarial Assistant cum Document Controller to support our administrative, document management and corporate governance functions. This role involves managing critical documents, coordinating with directors for wet ink and electronic signatures, and ensuring compliance with regulatory requirements. The ideal candidate will report to the Regional Corporate Secretary in Singapore and should ideally possess a can-do-attitude, exceptional organizational skills, attention to detail, and the ability to handle confidential documents with discretion. 
 
Job Description

Document Management and Coordination:

1. Arrange for wet-ink and e-signatures for various corporate documents involving Directors/Shareholders/external Stakeholders.
2. Facilitate apostille and notarization services with the notary public in Singapore and relevant bodies /consulars/ embassies.
3. Ensure all documents are stored securely with proper naming conventions in SharePoint or other document management systems in a timely manner.

 
Compliance and Regulatory Support:

1. Maintain Statutory Registers and ensure compliance with the Companies Act of Singapore and other relevant regulations under the supervision of the Regional Corporate Secretary.
2. Maintain corporate records such as original Share Certificates, Power of Attorneys, Agreements, Statutory Returns, Resolutions and other corporate documents for all legal entities, in compliance with the statutory and regulatory requirements of Singapore.
3. Timely update of the APAC Monitoring List or similar regulatory compliance lists and corporate secretarial trackers.
4. Create and maintain organizational charts and corporate structure diagrams of the various APAC entities.
5. Providing administrative and operational support to the Regional Corporate Secretary and Regional Legal Counsel in Singapore.

 
Documentation Related Work

1. Formatting word documents; preparing execution versions of agreements; converting pdf to word; creating compare documents; merging/consolidating documents; combine multiple files into a single document or create zipped/compressed sets for streamlined distribution.

Drive Profitable Business Growth

• Develop and implement sustainable business and route-to-market strategies for export markets through collaborative partnerships with distributors.
• Utilize a data-driven approach to gain market insights and translate them into actionable business plans (e.g., Consumer, Channel, Customer Plans) to achieve business objectives.
• Collaborate with distributors to generate brand awareness and trial initiatives for JDE brands.
• Identify, research, and execute potential business opportunities in both existing and new markets.

Distributor and Stakeholder Management

• Select and manage distributors, including contract negotiations and relationship management.
• Negotiate and formalize agreements with distributors, taking into account trade allowances and contractual conditions
• Engage in channel and account planning activities, defining sales and go-to-market plans with distributors.
• Work with stakeholders to plan and organize resources, such as shipping schedules and marketing activations.

Pricing and Sales Management

• Optimize the positioning of global and local brands in export countries, aligning with growth and cost targets.
• Develop pricing strategies, including general pricing, promotional pricing, and trade margins, to meet targets within agreed pricing ranges.

Receptionist Duties

1. Manage and distribute incoming and outgoing mail and packages.

2. Assist with basic administrative tasks, including data entry, filing, and maintaining office supplies.

3. Work closely with other administrative staff to support overall office functions.

4. Welcome all visitors warmly and professionally as they arrive.

5. Inquire about their purpose of visit and guide them appropriately.

6. Manage visitor logs and ensure all guests sign in and out.

7. Issue visitor badges or passes as required.

8. Notify relevant staff members of visitor arrivals.

HR Administration

1. Coordinate and administer on employee perks such as long service award, gift basket, new born, birthday celebration email to staff

2. Coordinate and raise HR-related vendor quotes, POs and payments as needed

3. Monitor overall HR budget and report on a monthly basis

4. To support administratively and coordination as needed (including handling the overseas/guests and attending to all deliveries to office. Assisting the EA/PA on offsite as and when needed help. Ordering of office grocery etc in needed.)

5. assist in booking of flights and hotel with their vendor

6. assist in arranging meetings / calendar management

7. Help to process claims/ expenses
