Pre-Tender Support

• Support Business Development in all stages from pre-tender client engagement, opportunity identification, RFPs, EOIs, Pre-Qualifications, data collation to response submission
• Set up bid team and disseminate data to facilitate pre-tender discussions
• Engage in meaningful pre-tender preparatory works and site visits

Bid Management

• Lead and effectively manage the entire bid process from review of RFP to award
• Attend tender briefing or site show rounds to gain better understanding of client requirements and potential competition
• Establish bid timeline with clear milestones and communication channels
• Set up bid project team comprising of key stakeholders and subject matter experts
• Schedule and deliver bid project team meetings (kick-off, workshop, storyboarding sessions, proposal reviews, governance/sign off, approval) ensuring outputs are agreed and deliverables are viable within the available timeframe
• Tabulate issues, status, actions required, etc. after meetings and update bid project team
• Liaise with relevant internal teams in reviewing the tender documents
• Identify risks throughout the bid process, highlighting areas of concerns to Business Units
• Collate and send tender clarification queries to client, thereafter, disseminate client’s replies to project team
• Create, issue and manage the bid response templates
• Control and consolidate the bid response ensuring the structure complies with the client requirements
• Collaborate closely with the bid project team to identify strategy, value proposition and win themes, and to develop strategic solutions appropriate for the bid
• Develop and write relevant and persuasive content for the bid response
• Ensure the winning strategy and win themes are articulated effectively throughout the bid response, demonstrating full appreciation and understanding of what the client needs
• Ensure bid submission documents are of high quality and adhere to guidelines for consistent branding
• Prepare, collate and review all required submission documents including required sign-off by authorised signatories
• Prepare and ensure approval documents are in order
• Prepare and collate response for post-submission clarification from client
• Prepare tender presentation slides
• Undertake post-mortem reviews with Business Units, identify what are the lessons learnt and implement resulting actions
• Upon award, initiate transition kick-off and ensure proper handover to Business Units

• Develop and maintain a professional and comprehensive bid content depository to be shared with Business Units
• Develop and refine the bid framework tools and processes by providing constructive feedback and ideas
• Actively read up, understand new content of relevance and share such content with fellow Bid Managers
• Explore and adopt best practices and share such knowledge with Business Units
• Drive and advocate growth within the team through learning; ensuring adoption of good practices, assisting with difficulties and feedback; and supporting fellow Bid Managers
• Build strong relationships with internal stakeholders, including the finance, HR, legal, risk assessment, HSSEQ and procurement teams, heads of Business Units, HQ teams and business partners.

Responsibilities:

The incumbent will be responsible for the proper efficiency and profitable functioning of the kitchen department. Assisting the Executive Chef managing and monitoring the kitchen operation. Guiding the Sous Chefs to achieve continuous improvement. He will be responsible for but not limited to the following culinary operations:

• Supervises and monitors the quality of all food prepared in the kitchen under supervision of Executive Chef. Checks constantly for its taste, temperature and visual appearance. Makes sure that all dishes are uniformed and that established portion sizes are adhered to. (Tastes all food being prepared and insists on top quality.)
• Coordinates closely with the Chef de Cuisine/Specialty Chef in determining quality and quantity of food material to be purchased and prepared. Keeps a close watch over all material used with a view of eliminating waste and spoilage, especially meat, fish, products. Inform the Chef de Cuisine/Specialty Chef immediately on bad products. Provides constructive feedback to staff.
• Assigns in details, specific duties to Sous Chefs or subordinates and instructs them in their work. (Checks the work and makes sure all orders are carried out as specified).
• Discusses with the Executive Chef and recommends menu price adjustments when necessary. Determines prices of unlisted food items in conjunction with Executive Chef and Director of F&B.
• Studies the menu engineering and sales statistics in depth, to amend the food offerings as per guest’s preferences
• Insists on personal cleanliness and proper discipline of all employees under supervision.
• Checks maintenance of all equipment located in the areas under supervision. Makes every attempt to prevent damages or losses of equipment. (Instruct staff on how to use the equipment correctly).
• Prevents the use of spoiled or contained products in any place of food preparation and prevent employees who are ill or suffering from an infection from taking part in the preparation or handling food. (Keeps constant watch on food prepared in all kitchens, checks receiving)
• Conducts market analysis and follows the market matrix or customer satisfaction survey to always develop and improve division service delivery.
• Makes suggestions to the Executive Chef concerning product enhancements / savings / other improvements
• Has a strategic plan to analyze and subsequently reduce food waste
• Monitors the hygiene and maintenance standards in all kitchen areas
• Conducts daily briefing and de-briefing in the absence of the Executive Chef
• Identifies and solves problems in a professional manner.
• Provides assistance to the staff when required during peak periods.
• Conserves energy and water at all time by not decreasing guest comfort and cleaning efficiency.

Consults with Food & Beverage Department Heads and Personnel Manager, as appropriate, in performing above duties.
• Schedules working hours of all Kitchen staff with Executive Chef, taking into consideration the volume of expected business.

Requirements:

• A graduate from a well-known culinary institution is highly desirable
• Minimum of 5-7 years of experience in kitchens covering all aspects of cooking. Exposure to exotic cuisines will be a strong asset
• Must have culinary experience in Mediterranean cuisine(French/Italian/Spanish /Moroccan) food
• Preferably with banquet experience
• Prefer Michelin star experience
• Solid managerial experience and knowledge in kitchen operation. This includes the knowledge required for management of people, complex problems, food and beverage management and food sanitation.
