Business Systems Analyst

In today's rapidly changing world, NTU is facing unprecedented challenges in adapting its student administration processes to keep up with the ever-evolving needs and expectations of students. A new low-code development platform was deployed in NTU that allows creation and deployment of web and mobile applications quickly and easily. With this platform, businesses can streamline their software development processes and accelerate the delivery of their digital solutions. The Business Systems Analyst is essential in articulating the functional needs and translating them into IT solutions that will support the overall University goals. Responsible for the project implementation and transition of the Student Management System. The incumbent will work closely with SASD to analyze and define user requirements, recommend, and evaluate appropriate end-to-end IT solutions; manage project and change implementation; as well as maintaining and supporting the system implemented.

Key Responsibilities:

Requirements Analysis and Documentation

• Meet with stakeholders to identify and create clear and concise documentation of business requirements for a given project
• Analyze and validate requirements to ensure they are feasible and meet the needs of the business

Systems Design

• Develop detailed system design documents, including data flow diagrams, process flows, and technical specifications
• Ensure that the system design is feasible and can be implemented in a timely and cost-effective manner.

Systems Development

• Ensure that the system is developed according to specifications and requirements

Training and Support

• Develop training materials and provide training to end-users on how to use the system
• Provide ongoing support to end-users to ensure they are able to use the system effectively

Communication and Stakeholder Management

• Communicate regularly with stakeholders to ensure they are informed of project progress and any issues that arise

Continuous Improvement

• Continuously monitor and evaluate the system to identify areas for improvement

Requirements:

• A degree or an equivalent certificate in computer science, software engineering, or a related field is required.
• At least 3-5 years of experience in systems analysis and design.

BASIC FUNCTIONS

Responsible for purchasing of raw materials, purchase parts, machinery, supplies and all other goods and services used in Production system at the most favorable price, quality, and delivery.

SPECIFIC RESPONSIBILITIES

System Support

• Evaluate all requisitions, particularly engineering change implementations to minimize excess and obsolete inventory
• Maintain and update databases of available suppliers and prices information
• Negotiate prices and contract agreements for favorable deals, to achieve a significant favorable purchase price variance
• Approve bills for payment as authorized by Materials Manager
• Maintain purchasing documentation system to comply with ISO requirements, GPP

Operational Support

• Qualify vendors and maintains close surveillance on their performance in relation to their products conformance to our specifications and quality standards, services provided and pricing. If necessary, survey vendors’ facilities and inspects products to ensure our requirements are met.
• Keep abreast on supply chain issues affecting the line (materials shortage)
• Work closely with manufacturing and suppliers to resolve lines issues due to supply chain
• Work closely with QA & Engineering and liaise with affected suppliers to resolve line issues due to components be it quality or drawing issues etc.
• Liaise between suppliers and plant on a regular basis
• Respond to any ad hoc demand requirements from customer when their unit in the WIP

QUALIFICATIONS / REQUIREMENTS

• Degree in Electrical/Mechanical/Marine Engineering with 2 years of relevant experience; or
• Diploma in Electrical/Mechanical/Marine Engineering with 4 years of relevant experience
• Preferably, a professional purchasing management certificate
• Knowledge of MRP/QAD/SAP system is advantageous

Calendar and email management

Meeting coordination

· Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries. Follow up on action items.

· Maintain confidentiality regarding business strategies, financial information, and personnel matters.

Communication liaison

· Serve as the primary point of contact for internal and external stakeholders, screening calls and inquiries, and providing information or redirecting as appropriate.

· Coordinate communication between the Senior Executive Assistant and MD with other departments, ensuring timely dissemination of information.

Document management

· Organise and maintain electronic and physical filing systems, ensuring that documents are easily accessible and up-to-date.

Prepare and proofread correspondence, reports, and presentations as needed.

Project support

· Assist the MD and Senior Executive Assistant in tracking and monitoring project timelines, milestones, and deliverables.

· Coordinate with cross-functional teams to gather information, compile data, and facilitate project progress.

Educational & Professional Qualifications

· Diploma in Business Administration, Office Management, or related field.

Relevant Experience

· Proven experience as an Executive Assistant or similar role, supporting senior executives or managers.

· Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.

WHAT YOU WILL DO

JOB PURPOSE

Coordinate and work alongside a team of 3rd Party Service Provider Personnel in performing warehouse and logistics activities in receiving, sampling, shipping, staging, storing, issuing, pack-out, inventory counting, transportation and documents processing related to materials movements.

MAIN RESPONSBILITIES:

• Provide guidance to Warehouses Personnel and 3rd Part Service Provider on proper and safe handling of materials, compliance to cGMP practices/procedures, accurate entry and maintenance of inventory transaction records. (as per assigned).
• Coordinate weekly microbiology test and quarterly swab-test of the pack-out rooms and isolators (as per assigned)
• Receive incoming materials. Verify incoming materials against the delivery note/document. Stage materials received neatly and transfer to storage locations. Route documents for the materials received to the appropriate departments for further processing. Record and report any variance versus the delivery note/document.
• Assemble and stage materials per production pick list and issue the materials to the appropriate plants. Accurately document all transactions. Input transaction data into the business computer systems and file the documents accordingly.
• Perform pack-out activities and observe the cleanliness requirements in the pack-out work area. Perform sanitation and cleaning of pack-out rooms and isolators. Record and document the operating temperature and relative humidity of the work area. Accurately document the pack-out transactions. Input transaction data into the business computer systems and file the documents accordingly.
• Perform sampling operation and observe the cleanliness requirements in the sampling booth. Perform sanitation and cleaning of sampling booth. Accurately document the sampling operation activities. and file the documents accordingly.
• Assemble and stage materials per the shipment packing list and hand-over the goods to designate freight forwarding agent. Accurately complete shipping document in accordance with shipping instructions. Input transaction data into the business computer systems and file the documents accordingly.
• Operate pallet truck, stacker, forklift and other material handling equipment. Handle all materials according to safety, health and environmental procedures with special attention to the handling of hazardous chemicals and store materials in accordance to its controlled storage requirements.
• Conduct inventory counts as required and record the variances in accordance to operating procedures.

Qualification:

• GCE ‘O’ level or equivalent.

Experience:

• At least 5 to 8 years of related work experience.
• Experience and knowledge in materials handling, operating of materials handling equipment, basic safety knowledge.
• Must have good understanding of procedure/ document system used for materials movements.

Other Personal Attributes:

• Able speaks, read and write simple English; and perform basic mathematics.
• Familiar with applicable regulations and guidelines, example: inventory control and handling of dangerous goods.
• Familiarized with cGMP working environment.

Job Description & Requirements

Requirements:

• At least Diploma in Engineering (Mechanical / Mechantronics)
• At least 5 year of working experience in engineering or construction fields
• Possessing a Certificate in Building Construction Safety Supervisors would be preferable
• Able to work in a fast-paced environment and handle tight deadlines
• Able to manage workers
• Prepare MOS RAP etc
• Well versed in MS office and Autocad
• Able to design electrical system
• Class 3 driving licence holder is preferred

Responsibilities:

• Attend to all operational matters related to the daily running of the project
• Attend to customers enquiry and conduct site survey as required
• Plan and schedules works with reference to contractual schedules
• Attend site meetings and inspections, report regularly on progress and monitor schedule
• To assist in co-ordination and management of assigned projects / facilities
• Able to provide technical support

• Has experience in Repairing, Overhauling, Troubleshooting, Servicing of heavy and light-weight construction equipment.
• Has knowledge in Diesel Engine, Hydraulic and Electrical System.
