Job Description: We are looking for an Admin Executive to support the administrative functions related to freight transport arrangements. As an Admin Executive, you will play a crucial role in ensuring the smooth and streamlined operation of our logistics processes. Your responsibilities will include managing documentation, coordinating with various teams, handling office tasks, and contributing to the overall efficiency of our logistics department.

Key Responsibilities:

1. Document Management: Handle and organize transport-related documents, including invoices, bills, and shipping records.
2. Coordination: Work closely with the operations team to facilitate communication and ensure efficient freight transport arrangements.
3. Office Administration: Perform general administrative tasks, such as managing phone calls, scheduling appointments, and maintaining office supplies.
4. Data Entry: Accurately enter data into relevant systems, ensuring the integrity and completeness of information.
5. Customer Communication: Assist in communicating with clients regarding shipment status, documentation requirements, and other relevant information.
6. Vendor Relations: Coordinate with vendors and suppliers to ensure timely and accurate delivery of goods and services.
7. Travel Arrangements: Assist in organizing travel arrangements for staff involved in logistics operations.
8. Meeting Coordination: Schedule and coordinate meetings, take minutes, and provide administrative support during team meetings.
9. Inventory Control: Monitor and manage inventory levels of office supplies and materials.
10. Problem-Solving: Assist in resolving administrative issues and challenges to maintain smooth logistics operations.
11. Compliance: Ensure compliance with company policies, industry regulations, and legal requirements.
12. Team Collaboration: Collaborate with other administrative staff to support the overall functioning of the logistics department.

Requirements:

1. Proven experience in administrative roles, preferably in the logistics or transportation industry.
2. Proficient in Microsoft Office Suite and other relevant software.
3. Excellent organizational and multitasking abilities.
4. Strong communication and interpersonal skills.
5. Detail-oriented and capable of maintaining accuracy in administrative tasks.

JOB FUNCTIONS

• Promote and sell the services of the company to a wide range of customers including Forwarders, Construction, shipyard etc. (This involves travelling to different places throughout Singapore.)
• Attend incoming email and phone call enquires.
• Draft and prepare quotations.
• Conduct sites visits and resolve issues, if necessary.

JOB REQUIREMENTS

• Experience in a Construction, Transportation or Forwarding related business would be an advantage.
• Minimum 3 year of full time working experience in any company.
• Able to work in a fast-paced and stressful environment.
• Knowledge of Mandarin dialects is essential to speak to customers.
• Possess a car with valid Singapore license and familiar with Singapore's Roads.
• Need to have own vehicle.
• Self-Motivated and responsible.

Marketing Executive

We are recruiting an experienced marketing executive to help us attract visitors to our platform and convert them into subscribers (chefs, dinners etc.) to use the services made available on this platform.

Job Scope:

• Identify target audience profile
• Coordinate and undertake market intelligence research projects.
• Develop marketing strategy to achieve marketing awareness, sales lead generation and online conversion
• Website Maintenance - Laravel technology (Knowledge of Wordpress will be advantageous)
• Plan and execute digital marketing via Website SEO, Google Ads, LinkedIn, Facebook, Instagram, Email, YouTube
• Plan, coordinate and run webinars, onsite events
• Collaborate with chefvision.biz business owner to understand solution offerings roadmap and strategize for marketing and sales growth.

Requirements:

• Familiarity with Chef/Merchant to Consumer marketing, F&B Business will be an advantage.
• Familiarity with online matching platforms, memberships sites, e-commerce marketing will be an advantage.
• Understand the customer lifecycle concept and possess working knowledge in developing marketing campaigns for loyalty and retention programs
• Working knowledge of SEO, Google Ads and Social Media Ads setup and management.

Job Scope

• Process documentation of promotions, transfers, conversions and salary increments of security officers
• Prepare monthly and annual HR reports relating to headcount, working hours and manpower cost
• Put together regular and adhoc payroll and costing reports for management.
• Liaise with government authorities and agencies on employee-related matters
• Perform online submission of statutory claims to various government agencies
• Assist in all necessary certification (ISO) and licences of the company with full compliance of regulations.

Requirements

• At least 3 years of experience in HR Generalist preferably in security industry but not necessary
• Good knowledge of Employment Act and other employment related legislation and regulations
• Good interpersonal skills with initiative and teamwork
