About the role

Accounts Executive, Accounts Payable

As the Accounts Executive at Four Seasons Hotel Singapore, you will be integral in ensuring the efficient and accurate processing of accounts payable transactions. What you will do

• Vendor Reconciliation:Monitor outsourced vendors for timely reconciliation of suppliers’ statements of accounts against our accounting records.
  Promptly resolve any discrepancies identified during the reconciliation process.
  
• Documentation and Filing:Maintain well-organized alphabetical files of vendors, containing complete invoices and supporting documents attached to correlated cheques for easy access after payment.
  Scan suppliers' invoices to the outsourced vendor for verification.
  
• Payment Processing:Ensure all payments are accurate, duly authorized (approved PO), and supported by evidence (i.e. invoices, delivery slips, receipts and Accounts Payable stamp).
  Complete wire authorization forms for transfers, ensuring proper sign-off by authorized personnel with the supported documents.
  Prepare manual cheques for payment.
  
• Standing Orders and Approvals:Maintain a list of standing orders for electronic disbursements, obtaining approval from cheque signatories with a copy attached to bank reconciliations. With details of the date of payment, payee, amount and description of payment and at the beginning of each month in advance of the standing payment.
  
• Reports and Petty Cash:Verify and process expense reports and petty cash reimbursements, ensuring compliance with key controls.
  Run required reports at month-end to close the Accounts Payable cycle.
  
• Accruals and Expense Management:Ensure accurate accrual and expense management, including proper documentation for goods received and services provided but have not been invoiced.

JOB PURPOSE

RESPONSIBILITIES

Key Responsibilities

Reporting to the Reports to Financial Reporting and Controls Manager, in this position, you will have opportunities to acquire skills and knowledge in the following areas:

Reporting

• Support Financial Reporting and Controls Manager to ensure day-to-day posting of GL journals are executed in a timely and accurate manner, as well as perform related monthly management reporting;

• Responsible for timely and accurate local analysis and reporting including:

• Monthly, Quarterly and Annual SAP Financial Consolidation (FC) reporting of financials to SG Management and HQ;

• Monthly Balance sheet reconciliations;

• Yearly Budgets and Forecasts.

• Assist on Agency KPI Report for HQ;

Banking & Treasury matters

• Handle / provide support in banking & treasury matters by liaising with bankers;

• Maintain foreign exchange rate table and preparation of the foreign exchange analysis report.

Audit and Compliance

• Deal with external/ internal auditor and ensure internal control accounting policies and processes are adhered to and in compliance with Company policies and SFRS / IFRS;

• Ensure proper audit trails for accounting records according to statutory requirements;

• Maintain relations with external/ internal auditors, investigate their findings and implement recommendations.

Tax Matters (ie Corporate Tax / GST / Transfer Pricing)

• Prepare/review monthly tax and deferred tax computation and assist in providing tax schedules to tax agents for the preparation of annual tax return and tax queries;

• Prepare/review quarterly Goods & Services Tax ("GST") working and reconciliation for filing of GST Form 5 to IRAS;

• Deal with tax agent and local authorities and ensure all tax filings and any other legal filing as required by local laws and regulations are performed accurately and timely;

• Assist in preparation of transfer pricing documentation;

• Resolve any tax related issues raised by tax authorities/tax agent/tax consultants.

Corporate Secretarial matter

• Handle / provide support in Singapore Corporate Secretariat matters by liaising with our appointed Corporate Secretary and/ or relevant local/ overseas parties.

Internal Controls, Process Improvements and Others

• Identify and initiate improvement areas and develop good accounting, control procedures and best practices to enhance overall accounting operations, work quality and efficiency;

• Identify processes to be streamlined and automated with the aim of increased productivity;

• Lead / support Department in new initiatives or projects as and when required.

Who We Are Looking For

• Min Degree in Accountancy / Finance, ACCA or professional accounting qualification equivalent;

• Minimum 3 years of relevant work experience in maintaining and executing accounting controls, reporting and process improvements;

• Past experience from any Big 4 audit firm preferred, though not a pre-requisite;

• Preferably from shipping industry;

• Experienced in managing changes and thrive in dealing with challenging business environment;

The HR Executive is an important support role in our firm. This is a 100% remote/home office function.

You will streamline HR processes, delivering great HR support to our firm for enabling the firm to continue working with the world’s drivers of innovation.

You should ideally be an energetic HR professional, with a strong discipline for deadlines and an eye for detail. You will coordinate with a team of freelancers and suppliers that will support you with HR activities.

Job Description

• Primary function: The HR Executive’s primary function is to facilitate the processes for the HR team.
• Support: The HR Executive is supported by freelancers and external suppliers. The HR Executive, just as all other members of the HR team, does hands-on work within HR tasks and projects. The HR Executive is responsible for the group KPIs of the HR team and for the HR-relevant KPIs of the entire team.
• Reporting: The HR Executive reports to the Operations Manager.
• Other functions: The HR team in our firm also supports other teams, such as IT, Finance, Procurement, Data Protection, Marketing, and facilities, in administrative roles.
• Core Responsibilities
• Coordinate and track full employee onboarding and offboarding processes including contract offer, preparation, and compliance briefings.
• Manage the entire recruitment function including writing job descriptions, screening, shortlisting, scheduling of interviews and profiling of candidates.
• The Marketing team will support in job portal posting.
• Conduct HR processes in line with company policies and ensure compliance with employment legislation and provide suggestions for improving company procedures.
• Administer training and work-related matters including coordination or enrolment of internal and external courses, update and maintain training records.
• Gather employees’ feedback and administer employee surveys.
• Provide reports to the leadership regarding the KPIs of hiring and other HR-related matters such as costs and processes.
• Maintain employee records and be the subject matter expert for employee personal data and compliance. Administer Performance Evaluation Exercises.
• Undertake and/or support any ad-hoc projects assigned. Examples include corporate retreats and lunch/dinners.
• Provide support to Accounting Team for accounts administration.

Here is an extract of concrete tasks for you to familiarise yourself with your role and responsibility:

Operative functions/Support Functions (about 75% of the effort)

• Running the personnel electronic files system, and maintaining all personnel files there
• Sending monthly payroll updates to payroll providers
• Supporting operations and finance team for providing payroll cashflow
• Regular check our firm’s appearance on our website and internal and external job portals
• Provide firm’s headcount approval process that triggers a new job opening to be created
• Checking of invoices from associates and suppliers (yes, this is a genuine procurement, finance, and operations resources task but you support these in doing so)
• Find freelancers for individual services (you get support in doing so by the operations team and by the procurement team)
• Providing regular employee performance and career development reviews, and preparing an interview protocol.
• Steering and documenting individual onboarding and offboarding of employees
• Steering and documenting individual professional training activities of employees (“Meet and Learn”/WEBINATO, company-wide training events (like Agile workshops), and supporting employees in planning their professional training (seminars, courses, e-learning)
• Chasing our legal advisors to prepare contracts and agreements for employees and freelancers for both legal entities in Singapore and Germany
• Submitting status assessments for freelancers with government authorities, checking/approving CPF/income tax for our employees
• Submitting government grant claims for salary (childcare, army, maternity, etc)
• Managing leaves, archiving and broadcasting leave notices
• Managing bonus schedules for employees

Management functions (about 20% of the effort)

• Supervising HR Suppliers’ communication when it is about submitting HR documentation to official bodies (CPF, German Pension Fund, etc.)
• Working with our service providers to keep the Human Resources Management System (HRM) and the Applicant Tracking System (ATS) up and running
• Identify areas for improvement of our firm’s HR processes, as far as these rely on outside workforce
• Provide support to the following functions of other teams, such as the procurement team, the marketing team, and the operations team:
• Data protection audits with associates, suppliers, freelancers, and the entire team
• Work-load balancing of suppliers, freelancers, and employees
• Taking care and managing our virtual team of office experts
• Checking reciprocity with certain suppliers
• Ensuring that proper order letters are sent out to suppliers
• Ongoing verification of prices and delivery times
• Establishing and monitoring of supplier and freelancer KPIs
• Event management
• Management of the firm’s software licenses
• Contract management for freelancers
• Improving the new hire experience/onboarding experience for new joiners
• Promoting company culture (e.g. HR handbook, culture book, company brochure, welcome note for employees, birthday
• greetings, organizing quarterly townhalls including icebreaker/teambuilding/hello and goodbye, CEO sharing, and other agenda items, organizing company events)
• Project management for all sorts of internal projects

KPI functions (about 5% of the effort)

• Checking of amounts billed by freelancers, are there noticeable movements up or down?
• Measuring the company mood on a regular basis, by doing and evaluating an employees engagement survey
• Providing weekly and monthly HR KPI submission

Requirements

• A must is that you have your own website that shows that you are able to adequately promote yourself. We will discuss your website in depth.
• A must to have your own working remote laptop/desktop.
• Diploma or Bachelors degree with an aspect in Marketing, or an equivalent job experience
• Experience in Digital Marketing
• Experience in running advertisements in Google Ads & Analytics, Facebook, Instagram, Tik Tok, LinkedIn, etc.
• Excellent command of English and proven record of copywriting experience. You are able to express your thoughts confidently.
• Experience with the following software: MailChimp, WordPress, Microsoft365 (Teams, Word, Excel, Sharepoint), ERP (Netsuite), Electronic Files (ELO), Project Management (Asana). If not, you should be willing to learn.
• Experience with working in an Agile Management environment will be a plus
