• Draft and prepare important letters that are circulated in the office.
• Compile all daily reports from various departments relevant to the department.
• Reply to all correspondences as directed by the Manager.
• Prepare agendas before every meeting and distribute them to all the staff members who are supposed to attend the meeting.
• Arranging and/or attending meetings and other gatherings/events.
• Monitoring stationary level and ordering of office and EHS supplies.
• Perform company's errands to post office and office supply store.
• Processing expenses sheets and invoices.
• Operate filling systems.
• Maintain up-to-date employee leave records.
• Handling sensitive information in a confidential manner.

Requirements

• At least Bachelor/Diploma in administrative or business related.
• At least 3 years as admin assistant or document controller, experience in construction project site is preferrable.
• Proficient in computer and MS Office application especially in excel.
• Good interactive skills.
• Will be based in Tuas South full time

• Provide daily administration support including scheduling of meetings, planning team bonding activities and documentation, incidents and request handling for the department.
• Prepare weekly and monthly report for Management to review
• Conduct small group training for Service Request Readiness (SDR)
• Assist in maintaining IT asset inventory which include tagging and updating
• Liaising with vendors, purchasers, requesters, Finance and suppliers on discrepancy in documents such as POs and DOs
• Ensure proper documentation, incidents / request handling till closure
• Conduct period review and analysis of incidents / requests, monthly data extraction and report consolidation
• Execute IT service requests including coordination and communication with relevant support parties
• Provide recommendation and improvement, modification for existing SOP from time to time
• Initiate sourcing of hardware and software and obtain quotations for comparison to meet business units’ requirements
• Negotiate with external vendors for best terms and conditions of the purchases
• Keep track purchase summary
• Maintain records and databases containing information regarding company’s software, licenses and warranties

Responsibilities

• Manage the project site by overseeing the day-to-day activities related to the construction of the project as designated by Project Manager
• Liaise with consultant for technical issues and coordinate the site activities with subcontractors
• Conduct inspection and checks on work performed by subcontractors
• Assist in the planning and sequencing of the construction operations
• Prepare project-related reports and method statement for submission

Requirements

• Degree in Civil Engineering recognized by PEB or qualification acceptable to the Commissioner of Building Control as eligible for application as a Resident Engineer, or recognised Degree in the relevant field subject to the acceptance of the Engineer, and at least 3 years of experience in the construction supervision for projects of similar scale and complexity.
• Minimum 5 years relevant experiences in Engineering and construction industry
• Experience with LTA Project is an advantage, working area nearby Boon Lay MRT.
