An account assistant supports the accounting team with a variety of tasks, including:

• Clerical and administrative: Answering and directing phone calls, filing, typing letters, processing incoming mail, and data entry
• Financial reporting: Assisting in the preparation of financial statements, reports, and budgets
• Payroll processing: Gathering and inputting relevant data to support payroll processing
• Bank reconciliation: Reconciling bank statements and monitoring financial transactions
• Accounts receivable: Issuing and tracking invoices, recording payments and adjustments, and updating customer relationship management files
• Accounts payable: Ensuring that all bills and other payables are resolved accurately and on time
• Journal entries: Updating journal entries into the accounting system

• Able to work on Weekends and public holidays

• Supervises and guide the cleaners assigned to an area.

• Follows-up with work instructions given by the Executive related to the cleanliness of an area.

• Ensures all cleaning are safely, properly and systematically carried out meeting the cleaning requirements.

• Supervises daily and monthly planned periodic works allocated to an area.

• Reports in a timely manner all defects, cleaners’ attendance and completion of all duties assigned.

• To troubleshoot maintenance services failures; handling repair and maintenance work, e.g. air-conditioning, lighting, electrical and plumping services

• Carry out regular inspections to the building and its facilities to maintain a high service delivery level

• Planning of work schedules and deployment of manpower

• To supervise, coordinate and manage work activities of cleaning staff in commercial and industrial establishments

• To assign duties, inspect work performed in accordance with the "Daily Inspection Checklist" to ensure conformance to specifications and established standards

• To train new/existing employees and recommend disciplinary actions where applicable.

• To handle all customers’ feedback

• To ensure good safety practices in the course of work.

• Provide a high standard of hygiene and cleanliness within the assigned area

• Manage work execution and performance of junior staff.

• Provide adequate training and coach staff to meet the required contractual standards.

• Conduct daily inspections to monitor and evaluate the work undertaken by staff and take immediate corrective measures to improve below standard performance.

• Implement and recommend operation plans to improve work processes and service quality for the organization

Job Position: Account Assistant

Key duties and responsibilities

• Assist in AR & AP accounting duties
• Performing day to day financial transactions, including verifying, classifying, computing, recording bank documentations and filing of documents
• Generate monthly reports detailing accounts receivable status and end of period account closing activities, sending bill reminders & contacting customers on due invoices if any
• Ensured that all vendor invoices are processed on a timely basis
• Generate monthly reports detailing accounts payable status and end of period account closing activities
• Ensure continuous improvement of processes
• Attention to detail and communication abilities
• Basic phone calls, emails manners required
• All other duties as assigned.

Required/Preferred Skills:

• Certificate in Nitec/Diploma in Accounting or other relevant certificate
• PC literate with Microsoft Excel and Xero accounting software
• Basic accounting principles and key finance terms
• Minimum 1 year of relevant experience
• Ability to work both independently and / or within a team environment
