Secretary to the Ambassador (Embassy Executive Assistant)

Main duties

• Manage the agenda of the Head of Mission and the weekly work plan of the official driver.
• Perform administrative and support tasks for the diplomatic staff.
• Receive, prepare, manage, dispatch and classify correspondence.
• Prepare and dispatch official communications.
• Manage telephone and electronic communications.
• Manage official documentation and contact databases.
• Support the organization and management of events and meetings.

Job Scope

- Attend to customers’ inquiry

- Prepare and process Air Export booking request

- Arrange for collection of cargo at customers’ premise

- Provide booking confirmation and flight details to customers

- Mange customers’ expectations and complaints

- Correspond with overseas offices on shipment status and inquiries

- Verify invoices from vendor

- Prepare customers’ report

Requirement

- Must be familiar with Microsoft Word and Excel

- Must be able to work independently

- Must be able to converse in English for handling English speaking clients through email and phone

- Must possess a sense of urgency and responsibility in work

- Outgoing personality

- Willing to learn with good attitude

- Prior work experience in this industry is not required, but will be at advantage

- Training will be provided

Job Description
• Account manage and administer staff claims.
• Generate and provide monthly reports/stats to Payroll/Finance for processing of payments and/or recovery.
• Validate and deliver accurate and quality claims timely.
• Develop and review SOPs within scope and exercise independent analysis and judgement when executing the SOPs.
• Use technology or data analytics to improve productivity and processes, and support SOPs review.
• Recommend and streamline work processes improvements, including system enhancements, to enhance efficiency and effectiveness.
• Manage the outsourced claims processing vendor and review the claims reports submitted.
• Conduct random audit of the claims and investigate and address the abnormalities.
• Provide prompt and follow through advisory and customer service to the colleagues and forge closer partnership with the stakeholders.
• Participate in ad-hoc projects, where necessary.

Requirements
• Meticulous, responsible, and detail oriented.
• High level of initiative, independent with strong problem-solving skills.
• Preferably to have experience in HR related field.
• Team player and able to work well under pressure and tight deadlines.

Work Location: Admiralty

Working Hours: Mondays to Fridays: 7:00am to 4:15pm, Fridays: 7:00am to 3:45pm, inclusive of 45 mins lunch break

Contract Period: 2 Jan 2025 to 31 Dec 2025

Job Description

• Assist in school’s General Office operations such as answering phone calls/walk-ins in a timely manner; taking and relaying messages where necessary
• Attend to sick/injured students, ensuring such cases are recorded in the office log book
• Assist in office administration matters and clerical work, including receiving, sorting and distributing daily mail /deliveries /posts/ couriers, maintaining a log book.
• Maintain the tidiness and cleanliness of the Reception Area at all times
• Any other duties as assigned by the P/VPs/HODs/AM

Job Requirement

• Full GCE ‘O’ Level Certificate or its equivalent Skills:

• Good communication and inter-personal skills

• Familiar with the use of computers and relevant software applications including Microsoft Excel, Word etc
