Job Scope

1.) Follow-up on email enquiries and checking of documents to ensure correct documents are presented

Compensation

• Collaborate with Oyika Regional Management Executives tostrategically plan, forecast and report resource requirements
• Assist to devise new procurement workflows and enhance existing standardoperating procedures to streamline requisition process
• Forecast asset/inventory demands across organisational functionsand departments to facilitate budget planning
• Review on non-standard requisition and support in the Request forQuotation (RFQ) process
• Coordinate with suppliers and ensuring that documents such as invoices are in order

Essential Job Functions

The Senior Associate, Procurement supports the Finance, Admin and Procurement Department in the areas procurement and tenders' management to ensure compliance with the Government’s IM on procurement policies and processes.

Requirements

The ideal candidate should be a Degree/Diploma holder in any discipline or equivalent, preferably with at least 4 to 6 years of relevant working experience with good knowledge of government procurement policies, procedures as well as GeBIZ.

He/She should be a good team player with good communication and interpersonal skills. Other pre-requisites include being meticulous, diligent and with an aptitude for figures.

Roles and Responsibilities:

1. Prepare appropriate documents for the purchase of materials, supplies, equipment and service contracts according to procedures.

2. Receives and processes all purchase requisitions.

4. Ensure all purchase requisitions have been properly authorized.

5. Make vendor selection recommendations based on materials quality and price quotes with Green Procurement Policy.

6. Maintains familiarity with current products and price schedules.

8. Ensure compliance with standard procedures.

9. Monitor and ensure daily delivery order, invoices and receipts, and full sets of documents are digitalized for submission to Finance Department.

10. Liaise with the suppliers/vendors on any discrepancy.

11. Update Vendor database.

12. Establish a good rapport and working relationship with internal customers and external suppliers.

13. Perform monthly stock take and update inventory report on a timely basis.

14. Monitors and maintains record for Capital Expenditure.

15. Backup for accounts payable staff function.

16. Performs other duties as assigned by the Head of Department.

Job Requirements:

· Diploma in any Business / Supply Chain Management or equivalent.

· At least 2 – 3 years of experience in a similar capacity in Clubs/Hotels/Food & Beverage environment preferred.

· Bi-lingual in English and Mandarin to liaise with Mandarin speaking suppliers.

· Proficient in Microsoft Office applications eg: Excel and preferably with basic accounting knowledge.

· A team player with effective communication and negotiation skills with people of different background.
