Procurement General Manager is responsible to maintain corporate governance in areas of contracts and procurement, negotiating and managing contracts as well as getting involve in contract and procurement processes including defining needs and options and make recommendations. Responsibilities

• Prepare, monitor and manage budget.
• Drafting, Evaluation, Negotiation and Execution for all types of contracts including but not limited to formal, short form, and annual contracts;

• Check contract documentation and negotiate contract terms to the best interest of the Company with particular attention to managing future risk;
• Identify possible areas of dispute amongst the Consultant(s), Contractor(s) as well as Client(sJ and take the necessary proactive measures.
• Ensure that signed contracts are communicated to all relevant parties to provide contract visibility and awareness, interpretation to support implementation;
• Review insurance claims arising on the project and assist to successfully conclude such claims;

1. AUTHORITY

2. GENERAL RESPONSIBILITY / TASK DESCRIPTION



▪ Negotiate / communicate with suppliers specifying quality, quantity, and delivery schedules

▪ Schedule, arrange, and follow-up on logistics to ensure cost effective and timely delivery of

items on board

▪ Monitor schedules of the assigned group of vessels to optimize deliveries on board

▪ Proactively participate in department meetings and other activities

3. EXECUTION

▪ Processing ship’s requisitions via the defined in Company Procurement procedures

▪ Evaluate bids and make recommendations based on commercial and technical factors

▪ Create and send purchase orders after approval

▪ Prepare items for shipment, arrange for transportation of product and coordinate shipments of

supplies to ships

▪ Update good receipt for each order

▪ Processing of invoices belonging to the orders she/he has created and/or are related to her/his

group of vessels

▪ Liaise between suppliers, relevant internal departments and vessels

▪ Other procurement tasks as delegated by the Procurement Manager

▪ Interacts with ships to identify and meet requirements / problem resolution and to accommodate

short lead-time orders

▪ Request and process vessel feedback on quality and timing of deliveries of goods and services

▪ Provide information to the Procurement Manager on various monthly / weekly reports as

relevant

▪ Coordinate with appointed freight forwarder and monitor stock list at regular intervals

▪ Ensure that Procurement policies and standard procedures are adhered to at all times

RESPONSIBILITIES

• Review, analyse, process Purchase Requisition and request for quotations from suppliers and negotiate the best price, commercial and non-commercial terms.
• Assist & interact closely with the Project Consultants, Operation Supervisors & Project Managers on RFQ/RFP to vendors.
• Monitor the Inventory items by working closely with the project teams & warehouse.
• Follow up on PO confirmation with the supplier.
• Monitor PO delivery status to ensure prompt delivery and to maintain sufficient inventory level for commonly used materials.

About The Role

· Updates management on sub-contractors’ claims status (i.e. work performed, penalties, back-charges, advances imposed on sub-contractors);

· Prepares debit notes on back-charges and/or penalties imposed on sub-contractors; follows up to ensure that such debit notes are contra against claims raised by sub-contractors;
