Responsibilities:

• Internal Communication – To co-ordinate communication between outlet staff members, central kitchen, and the warehouse department.
• Manufacturing Planning – To review and modify the daily manufacturing orders sent to the Central Kitchen.
• Keying Orders – Receive our customer orders through email/whatsapp portals and entering them into our ERP system accurately.
• Invoicing – Issuing invoices to our regular customers.
• Purchase – Raising Purchase orders to local suppliers and communicating with them to ensure that deliveries are made
• Quality Assurance – To regularly evaluate and ensure that products are of the same quality as promised by suppliers.

Requirements:

• Intermediate level of familiarity with Microsoft 365 applications – Sharepoint, Teams, Excel, Word, PowerPoint.
• Demonstrates proficiency in general IT related skills.
• Knowledge in ERP / WMS systems such as Odoo or SAP would be beneficial.
• Ability to perform intermediate level of quantitative and qualitative data modelling combining data from historical sources, existing conditions, and future projections using any software of your choice.
• Confidence in your own ability to independently make decisions in all operations and procurement-related matters.

1. Job Responsibilities

• Manage contract and price negotiations with office vendors and service providers. Mapping office supply requirements and procuring as per demand.
• Responsible for the accurate processing of supplier invoices and inter-company billing. Receiving and distributing incoming mails and arranging local and overseas couriers.
• Coordinate travel arrangements including hotel, flight booking, and visa application.
• Verify staff expense claims and other allowances to ensure all payments are made timely and in compliance with company policies.
• Provide full spectrum of secretarial support to Resident Director. Drafting general and administrative documents and circulating internal notices.
• Support project team and perform administrative duties. Attend meetings and discussions with respective committee involved and provide secretarial support.
• Liaise with the building management on the unit inspection. Overseeing the maintenance of office facilities, cleanliness, and equipment (e.g. Aircon maintenance, office lighting and electrical supply and installations, plumbing matters and etc.).
• Planning and organizing in-house and off-site events, like company lunches, celebrations, employee activities, board meetings, trainings and conferences.
• Perform attendance tracking and leave management to ensure accurate and timely reporting.
• Maintain office security by following safety procedures and controlling access via the reception desk.
• Assist in insurance renewal (office and properties).

a) Sourcing and Purchasing:

1) Work with all departments on purchasing requirements including mainly on contractor works relating to maintenance/upgrading of plant facilities.

b) Procurement Records:

6) Updating of Procurement status in Emaint software.

c) Administrative and Coordination works:

1) Match Purchase Order, Delivery Order and Invoices; Check on accuracy and completeness and submit to Finance Department on a timely basis.

2) Verify invoice without PO is as per contract value and identify department costing before submit to Finance.

3) Follow up on invoicing on cash on delivery purchases.

4) Liaising with Centralised Store for self-collection arrangement.
